1. OPERATING GRANT APPLICATION PERIOD AND THE SUBMITTING OF ASSOCIATION NOTICES TO BEGIN ON 1 MARCH

The annual submitting of AYY’s association notices and the application period for the operating grant will begin after about one week on Sunday, 1 March at midnight and end on Tuesday, 31 March at the turn of the month. Each association in AYY’s register must submit the association notice. If the association notice is not submitted, the association may be removed from AYY’s association register. All associations approved in the first list of AYY’s association register may apply for the operating grant and the application is regarded as the association notice. If you are uncertain whether your association is in the first or second list, please contact the organisation specialist.

In 2015, there are two new twists when you apply for the operating grant: the new scoring model (available here) and the new association database. The association database not only facilitates the processing of applications but also helps the association activities. From now on, you do not have to fill in all the unchanging information every year, but they are copied from the previous years. At the first time, however, all information must be filled in as each association creates their own username. It is therefore very important that all associations fill in their information into the system, regardless of whether or not they apply for the operating grant.

The database is currently being tested at AYY’s office and everything looks good. The new system will inevitably bring some problems along the way, so you should reserve enough time for filling in the application and notices. If you already know that your association will be late, please inform the organisation specialist (jarjestoasiat@ayy.fi). If you request for additional time in advance, we may grant it to you. Late or incomplete applications will not be processed.

More specific instructions for using the database and how to register are published next week when the system is ready for use.

The operating grants and association notices are processed as quickly as possible. This year, however, their allocation and payment may occur later in May due to the parliamentary elections and the capping of Manta statue.

Please note! In 2015, increased operating grants are not allocated at all. You can apply for funding from TTE-Fund for all projects outside continuous operations and for new spectacular ideas (tter.fi).

2. UPDATE AYY’S ASSOCIATION PROFILE, ALSO THE LANGUAGE VERSIONS!

During this operating grant application round, the requirements for association profiles on ayy.fi site will change. The operating grant is not paid if the association profile is not in order.

The profile must be available at least in one of the domestic languages (Finnish or Swedish) and in English. It is essential that the profiles of all associations are available in all three language versions. You do not have to translate the profile into all three languages, two out of three is enough. The profile may be in Finnish on the Finnish site (ayy.fi) and in English on the English and Swedish sites. You can write translations in ”Translations” section in ”Language” bar on the upper right corner of the profile edit site. More specific instructions are available here (only in Finnish).

Each association is responsible for updating and translating their own profile. If you do not have anyone in your association who speaks either Finnish or Swedish, please contact the Organisation Specialist.

You can edit the profile by logging on to the site at /wp-admin. The username to the site is mainly the abbreviation used by the association itself. If you have forgotten your password, you can reset it on the log-in site. Usernames are mainly connected with the e-mal list of the association board, so the confirmation email should be delivered there.

3. PRESENT YOUR ASSOCIATION ON THE RADIO!

Radiodiodi is the common radio station of Aalto University students. This year, we have broadcasts on 20-30 Apr. The year 2015 is the fourth year of operations in the current form.

Many associations and association members have noticed that it is difficult to have young and new persons to join the associations. One of the reasons is that they have not heard about anything interesting. Radiodiodi offers the associations the opportunity to tell about their association and other interesting things. Usually, the programmes where associations have made their own thing with their own style have not been very popular.

If you do not have any ideas on what kind of programme you could make, Radiodiodi can help you to create ideas. Radiodiodi also gives advise on how to act in the studio and provides support in the studio for the technical aspects of the programme. The info and sauna evening is organised at Ossinlinna at 6pm on 13 Mar, where we tell you about the making of a radio programme. We also provide snacks.

3. MAIN ADMINISTRATOR NOTIFICATIONS FOR OTAX

Main administrator notifications for Otax must be made by 29 March. For those accounts which do not provide the notification, the username will be locked on 1 Apr and the site will be closed. This concerns associations which have websites or usernames for AYY’s web hotel service Otax.

The administrator notification has been renewed and is more extensive than previously. At the same time, the notifier needs to check the running applications, users with access to the username, etc. Detailed instructions can be found in the notification form. Please reserve enough time for filling in the notification and for checking the site.
