Aalto Party takes place 8 September 2017 at Alvarin aukio, Otaniemi at 16–20. We welcome associations within AYY to present themselves at Aalto Party.

Make yourself known and acquainted with the Aalto community! By bringing programme and activities to Aalto Party you can present yourself, get new friends, and liven up the party!

Aalto Party brings together students and staff to celebrate the beginning of the new academic year. The number of visitors yearly is around 3500 and increasing every time.

2. Arrange a checkpoint at Otasuunnistus!

Orientation will be here soon and so will the Otasuunnistus. I welcome your organisation to participate in Otasuunnistus on both Wednesday September 6th and Thursday September 7th. At your checkpoint you shall give the freshmen small tasks and reward them with points.  The checkpoints are open from 5PM to 10PM, and the afterparty starts in Smökki at 9:30PM. You can register your checkpoint until the 27th of August with this form:

3. Thanks to a new agreement between AYY and Bailataan.fi, services and contract prices by Bailataan.fi can now also be offered to AYY’s associations.

Bailataan.fi is a service that can be used to buy and sell mobile tickets that serve as both tickets for events and coupons for products sold by the provider. The service is found online, and it can be used on a smartphone, tablet or computer. The service can be used for both external and internal events, and advertising the events publicly in Bailataan.fi is not compulsory; the events can also be shared just by using a link or a password.

Registration for the service is free for associations, and there is no monthly fee. A fee is charged from sold tickets, which is 2.0% + 0.15 € per product sold. This includes bank transaction fees, payment transaction fees and other payment service fees.

If your association has an existing agreement with the Bailataan.fi service

The existing agreement’s service fees are updated automatically to be in accordance with the new agreement, if the terms of the new agreement are more favorable than the terms of the previous agreement. If you do not want the prices to change, please send a message to info at treanglo.com.

If your association does not have an existing agreement with the Bailataan.fi service

The terms of the agreement will automatically enter into force and the service will be available for use as soon as you have registered your association with the service. The Bailataan.fi service has information on AYY’s associations for this purpose, but if you have trouble with the registration for some reason, please contact info at treanglo.com or niina.palm at ayy.fi for help J

4. Arrange a checkpoint at Stadisuunnistus

In order to offer the freshmen a chance to get to know The Eastern Harbour City (in some cultures also known as Helsinki), we organize an event called Stadisuunnistus on Tuesday September 12th. Stadisuunnistus is a checkpoint crawl in the center of Helsinki, and the event starts at 6PM at the Senate Square. The checkpoints are open from 6PM to 9:30PM, and the afterparty starts at 9PM at Nightclub Capital in the center of Helsinki (Fredrikinkatu 51).

5. Volunteer for the Dipoli Independence Day reception – Associations will be compensated

Does your association need funds for a purchase or an excursion? Do you have keen volunteers to help with the largest Independence Day event of the year?

This year, the volunteers are recruited through associations, because compensation is being paid for volunteering to the association, which they must be able to invoice. Help is needed in the cloakroom, decorations, final cleanup and catering, possibly for other tasks as well.

Apply by sending an informal application by the 11th of September. The application should include the following details:

-what are you gathering funds for (excursion, event, purchase or something else)
-how many volunteers would you bring
-preferred amount of payment with arguments and grounds

Please note that the decisions on payment are based on the overall assessment, so it is possible that the sum offered will differ from the amount you applied for. In this situation, the association can turn down the offer. If there are more applications than slots for volunteers, the associations are chosen based on the applications.

6. To culture and art associations: Cultural test and development project funding / Involvement and participation

Application period: 20th June 2017–28th September 2017

The test and development project funding is intended for increasing involvement and participation in culture and culture services and broadening the target audience of culture services.

The aim of the funding is to increase people’s involvement in culture and their participation in various culture services, as well as to broaden the target audience of culture services. In addition, the aim is to remove obstacles for participation, to deepen the experiences and effects of participation, and to promote the interaction between the parties offering services and their audiences. Special emphasis is placed on people who rarely take part in culture and cultural events. Traditional methods, digital methods or a combination of both can be utilized in the means and models used to forward the aims.

The funding is intended for legally competent communities working with culture and art, such as associations, foundations and corporations.

 

7. AYY Association training in Finnish on the 28th of November 2017 and in English on the 7th of December 2017

This year’s association training will be held at the Design Factory in Otaniemi on November 28th. Information on the program and signups will be released later, but be sure to mark the date on your associations’ calendar already! The training will be in Finnish. An English training session will be arranged on the 7th of December at AYY’s office. Stay tuned!

This is the first association newsletter of the fall. The next newsletters will have the familiar deadline of Wednesdays at 10:00 a.m. Please send the pieces for the newsletter to tiedotteet at ayy.fi. They should concern associations as associations. Event marketing to members of the Student Union is focused on the weekly newsletter. More on the newsletters at: /en/students/weekly-newsletter/ and /en/associations/association-newsletter/.

The association sector has returned to the office this week, so piled-up queries from the summer are still under way. They will be answered as soon as possible, but due to the number of messages, it may still take a while.

The AYY association training in Finnish is held on the 28th of November this year at the Design Factory, so mark it in your calendars! A training in English will be on the 7th of December.

  1. AYY is giving away office furniture to associations

Associations can come and grab free leftover office furniture from the AYY office (Otakaari 11) until 25.8.

The following furniture is up for grabs:

9 different kind of quality shelves and lockers by ISKU and Martela.

The furniture is handed out on first come, first serve basis (or on first come, first reserve basis, with a promise to retrieve them by 25.8. at 5 pm). Note that you will need a car or several people to carry the cupboards.

The furniture must be retrieved by 25.8. 5 pm, after which the pieces of furniture left over will be recycled.

  1. Operating grants 2017 and missing association notices DL 6th of June 12.00 noon

The operating grants for 2017 have been granted and the sums are available at /en/associations/services/operating-grants/operating-grants-2017/

Operating grants are paid when all the prerequisites have been fulfilled. The payment order regarding the grants will be sent to most associations on the 19th of May. For most associations, the payment order on the grant has been made into the account they have submitted to the TAHLO system.

If an association has discrepancies or things missing from their profiles on the AYY website, they have been contacted regarding the issue(s). The profile must be completed before the grants are paid, according to the instructions submitted when the applications opened. Organizations that have been granted additional time for certain appendices have been contacted, and the appendices must be supplied in accordance with the instructions before they will receive their grant. Associations with other evident discrepancies, like missing regulations, have also been contacted separately.

Associations that have not yet filed an association notice for 2017 must do so by the 5th of June, 12:00 at https://tahlo.ayy.fi/. It is no longer possible to apply for operating grants this year. If the association fails to fill an association notice in the allocated time for the second year in a row, the association can be removed from the Student Union’s list of associations.

  1. Operating grants 2017 and missing association notices

The operating grants for 2017 have been granted and the sums are available at /en/associations/services/operating-grants/operating-grants-2017/

Operating grants are paid when all the prerequisites have been fulfilled. The payment order regarding the grants will be sent to most associations on the 19th of May. The payment will be visible on the account submitted to the TAHLO system by the beginning of June.

If an association has discrepancies or things missing from their profiles on the AYY website, they will be notified before the final submission round opens on the 22nd of May. The profile must be completed before the grants are paid, according to the instructions submitted when the applications opened. Organizations that have been granted additional time for certain appendices will not be specifically reminded about submitting them. These organizations must submit the appendices in accordance with the instructions they have received when the additional time was granted in order to receive the grant.

Associations that have not yet filed an association notice for 2017 must do so between the 22nd of May, 12:00 and 5th of June, 12:00 at https://tahlo.ayy.fi/. It is no longer possible to apply for operating grants this year. If the association fails to fill an association notice in the allocated time for the second year in a row, the association can be removed from the Student Union’s list of associations.

 

  1. Advance booking of AYY’s facilities rented on a one-time basis

The advance booking of AYY’s facilities rented on a one-time basis will start on Thursday 1 Dec 2016.

Advance bookings are organised by using AYY’s own booking system TILA.

You can make advance reservations for the period Mon 14 August 2017 – Sun, 7 January 2018.

The schedule for facility reservations in the system is as follows:

  1. AYY’s internal operators, reservation period 19 April – 3 May 2017.
    The reservation period ends at 11.59pm on Wed, 3 May 2017.
  2. Special status associations 4 May – 12 May 2017.
    The reservation period begins at 12noon on Thu, 4 May and ends at 2pm on Fri, 12 May. The booking session will be held in the Bachelor Building (OK1) hall M1 (M232) from 4.30 pm onwards on Fri, 12 May 2017.
  3. Other associations in the 1st register on 13 May – 19 May 2017.
    The reservation period begins at 12 midnight on Sat, 13 May and ends at 2pm on Wed, 19 May 2017. The booking session will be held in the Bachelor Building (OK1) hall M1 (M232) from 4.30pm onwards on Fri, 19 May 2017.

A few notes about the making of reservations:

  1. TILA can be found at https://tila.ayy.fi/ and the users log on with Aalto University’s IT username, using the same logging system as when usingInto, for example. The easiest way to get started is to read the instructions behind the Instructions/Help link in the menu bar at the top of the page.
  2. In advance booking, facilities are reserved under the name of associations. The activation key has been sent to the email address provided by an association (usually this is the mailing list address of the association board) already in the spring, so the person who has handled the facility bookings of the association this year may distribute representation rights through TILA if necessary.
  3. If you receive representation rights fora group, the message subject is ”TILA: Activation key for group GROUP NAME”. The activation key can only be used once, so the person who has first logged on to the system may add representation rights to suitable persons in the group in order to make reservations. The reservation right is only activated for the associations which have filled out the association notice and whose information has been updated to the association register this year.
  4. Enter the event name in the reservation. If there is no name, the event may be deleted if there are several reservations for the same date at the later stages of the booking session.
  5. Please note that AYY’s internal reservations are mainly permanent.
  6. Special status associations have the opportunity to permanently book facilities for anniversaries and anniversary brunches. If there are reservations by two separate associations, of which one is anniversary or brunch of a special status association, the special status association will have the reservation. Other reservations of special status associations should be defended at a later booking   session. Therefore, in the advance booking session of special status associations, we will first clarify the duplicate reservation of special status associations and in the second booking session we will clarify all the rest of the duplicate reservations.
  7. Duplicate bookings can only be made within the reservation periods. After the end of the reservation period, associations can edit, delete or add new reservations which do not overlap with other reservations. Any duplicate reservations can be cancelled by using your own username in the advance booking session, so please bring your laptop in order to get the event running smoothly.
  8. Only reserve the facility for times when you really need it. If possible, please avoid reservations for the following times:
  9. PO has rehearsals atSmökki every Monday at 6pm-9pm and RWBK every Tuesday at 5pm-10pm. So please avoid sitsit on Mondays and Tuesdays!
  10. The multi-purpose facility and tatami hall are actively used by trainers on a daily basis between 4pm and 11pm.Reservations before 4pm are usually available.
  11. The rent prices of 2017 will apply until 7 January 2018.
  12. System instructions are available in Finnish and English. The implementation of the Swedish interface and instructions are in progress. In addition, TILA system is being further developed. Users are asked to report about detected problems, inconsistencies in the text or development ideas to the address tila (at) ayy.fi.

  1. Your association’s events to the student calendar

AYY’s printed student calendar has traditionally contained different events organized by associations, so those who use the calendar can easily keep track of stuff. This will also be the case in the calendar for 2017-18.

4. Sign up latest on May 21st: Competition for associations – the most internationalised will be rewarded!

How to make your association more international? AYY is organizing a competition for associations, rewarding the association that has made the most developments in internationalisation during 2017. The means for internationalisation and opening new participation opportunities for international students can be freely chosen by the associations, but inspiration can be sought from the ABC-guide, made to help with the process.

The association with most advancement in internationalisation will be rewarded at the association assembly in December 2017 with praise, glory and a free sauna booking at one of AYY’s saunas. We won’t award an association that’s already very international, but rather one that has developed their organization the most towards international activities during the ongoing year. Sign up with the link below, plan on how to integrate internationality into your events and operations, and prepare to report your development in November 2017. In the report you must open up what you’ve done differently this year with, for example, the enrolment of new students, information coordination or events, and what you’ve learned along the way.

1.  Operating grants 2017 and missing association notices

The operating grants for 2017 have been granted and the sums are available at /yhdistykset/palvelut/toiminta-avustus/toiminta-avustukset-2017/

Operating grants are paid when all the prerequisites have been fulfilled. The payment order regarding the grants will be sent to most associations on the 19th of May. The payment will be visible on the account submitted to the TAHLO system by the beginning of June.

If an association has discrepancies or things missing from their profiles on the AYY website, they will be notified before the final submission round opens on the 22nd of May. The profile must be completed before the grants are paid, according to the instructions submitted when the applications opened. Organizations that have been granted additional time for certain appendices will not be specifically reminded about submitting them. These organizations must submit the appendices in accordance with the instructions they have received when the additional time was granted in order to receive the grant.

Associations that have not yet filed an association notice for 2017 must do so between the 22nd of May, 12:00 and 5th of June, 12:00 at https://tahlo.ayy.fi/. It is no longer possible to apply for operating grants this year. If the association fails to fill an association notice in the allocated time for the second year in a row, the association can be removed from the Student Union’s list of associations.

 

  1. Advance booking of AYY’s facilities rented on a one-time basis

 

The advance booking of AYY’s facilities rented on a one-time basis will start on Thursday 1 Dec 2016.

Advance bookings are organised by using AYY’s own booking system TILA.

You can make advance reservations for the period Mon 14 August 2017 – Sun, 7 January 2018.

The schedule for facility reservations in the system is as follows:

  1. AYY’s internal operators, reservation period 19 April – 3 May 2017.
    The reservation period ends at 11.59pm on Wed, 3 May 2017.
  2. Special status associations 4 May – 12 May 2017.
    The reservation period begins at 12noon on Thu, 4 May and ends at 2pm on Fri, 12 May. The booking session will be held in the Bachelor Building (OK1) hall M1 (M232) from 4.30 pm onwards on Fri, 12 May 2017.
  3. Other associations in the 1st register on 13 May – 19 May 2017.
    The reservation period begins at 12 midnight on Sat, 13 May and ends at 2pm on Wed, 19 May 2017. The booking session will be held in the Bachelor Building (OK1) hall M1 (M232) from 4.30pm onwards on Fri, 19 May 2017.

A few notes about the making of reservations:

 

  1. TILA can be found at https://tila.ayy.fi/ and the users log on with Aalto University’s IT username, using the same logging system as when usingInto, for example. The easiest way to get started is to read the instructions behind the Instructions/Help link in the menu bar at the top of the page.
  2. In advance booking, facilities are reserved under the name of associations. The activation key has been sent to the email address provided by an association (usually this is the mailing list address of the association board) already in the spring, so the person who has handled the facility bookings of the association this year may distribute representation rights through TILA if necessary.
  3. If you receive representation rights fora group, the message subject is ”TILA: Activation key for group GROUP NAME”. The activation key can only be used once, so the person who has first logged on to the system may add representation rights to suitable persons in the group in order to make reservations. The reservation right is only activated for the associations which have filled out the association notice and whose information has been updated to the association register this year.
  4. Enter the event name in the reservation. If there is no name, the event may be deleted if there are several reservations for the same date at the later stages of the booking session.
  5. Please note that AYY’s internal reservations are mainly permanent.
  6. Special status associations have the opportunity topermanently book facilities for anniversaries and anniversary brunches. If there are reservations by two separate associations, of which one is anniversary or brunch of a special status association, the special status association will have the reservation. Other reservations of special status associations should be defended at a later booking   session. Therefore, in the advance booking session of special status associations, we will first clarify the duplicate reservation of special status associations and in the second booking session we will clarify all the rest of the duplicate reservations.
  7. Duplicate bookings can only be made within the reservation periods. After the end of the reservation period, associations can edit, delete or add new reservations which do not overlap with other reservations. Any duplicate reservations can be cancelled by using your own username in the advance booking session, so please bring your laptop in order to get the event running smoothly.
  8. Only reserve the facility for times when you really need it. If possible, please avoid reservations for the following times:
  9. PO has rehearsals atSmökki every Monday at 6pm-9pm and RWBK every Tuesday at 5pm-10pm. So please avoid sitsit on Mondays and Tuesdays!
  10. The multi-purpose facility and tatami hall are actively used by trainers on a daily basis between 4pm and 11pm.Reservations before 4pm are usually available.
  11. The rent prices of 2017 will apply until 7 January 2018.
  12. System instructions are available in Finnish and English. The implementation of the Swedish interface and instructions are in progress. In addition, TILA system is being further developed. Users are asked to report about detected problems, inconsistencies in the text or development ideas to the addresstila@ayy.fi.

3. Competition for associations – the most internationalised will be rewarded!

How to make your association more international? AYY is organizing a competition for associations, rewarding the association that has made the most developments in internationalisation during 2017. The means for internationalisation and opening new participation opportunities for international students can be freely chosen by the associations, but inspiration can be sought from the ABC-guide, made to help with the process.

The association with most advancement in internationalisation will be rewarded at the association assembly in December 2017 with praise, glory and a free sauna booking at one of AYY’s saunas. We won’t award an association that’s already very international, but rather one that has developed their organization the most towards international activities during the ongoing year. Sign up with the link below, plan on how to integrate internationality into your events and operations, and prepare to report your development in November 2017. In the report you must open up what you’ve done differently this year with, for example, the enrolment of new students, information coordination or events, and what you’ve learned along the way.

  1. Participate and propose your events to Otaniemi Free Space!

Otaniemi Free Space is a student-led, community-based cultural space and test platform in the former ADD LAB space (address: Sähkömiehentie 4 G), which will be open between April 7th and May 27th 2017.

We now invite you or your community to join in on the activities and produce content in the space. The activities organized can be anything from an art installation to a lecture event, or from a bike repair workshop to a music concert. The main focus, however, is welcoming everyone, doing things together and learning from others. We especially encourage collaboration between different parties in Otaniemi and students at Aalto University. You can also come and volunteer in the project.

We will offer the venue (space for events, projects and exhibitions as well as a kitchen), different types of equipment (a projector, PA systems etc) and will advertise your event or project on our social media page and our website.

  1. The women’s choir KYN is looking for new enthusiastic singers!

The auditions are organized on Tuesday, the 16th of May, between 18:00 and 21:00 at the Aalto University Business School in Helsinki. You can sign up for the auditions by sending an email to koelaulut(a)kyn.fi. Please sign up by Friday, the 12th of May. Write “Koelaulut/Auditions” on the subject line and give us a free-form description about your musical and singing background. Please also provide your contact information. We will reply with more information on the auditions!

We will test your basic musical skills, such as ear for music, sense of rhythm, note reading and polyphonic voices.

KYN is one of the leading female choirs in Finland, and it has broken musical boundaries and brought new Finnish jazz into the choir field, among other things. Our repertoire is diverse, and the choir is well-known for its vibrant timbre reminiscent of a vocal ensemble.

1. Come and be a checkpoint keeper at Crazy John!

Wappu is soon here and, with it, the highly anticipated traditional Crazy John event!

In the Crazy John event, teams consisting of about 4–10 people travel around Otaniemi the night before the Wappu eve, completing various checkpoints and competing for the title of the Craziest Team™. Now your association or group of friends has the chance to be right in the thick of it and lift everyone’s spirits by holding a checkpoint of your own!

The registration for checkpoint keepers is open at https://lomake.ayy.fi/teekkarijaosto/hullu-jussi-2017-rastit-crazy-john-2017-checkpoints/ and it will end on April 25th. If your association does not have a club room and you want hold your checkpoint indoors, register as soon as possible and contact the organizers, and we will do our best to arrange the needed premises for you. The best checkpoint is rewarded with a marvelous Wappu basket with lots of goodies in it, and a free AYY rentable sauna space for one day (must be used by the end of the year).
