Will you have a party at Smökki but you have lost the ABC book for the kitchen? Don’t worry, participate in the kitchen training at Smökki! After the training session, you can certainly handle the herring breakfast if you are willing to organise it for a small fee. However, if you are more interested in advocacy work, the nomination for candidates in the Representative Council elections is open until 12noon on 30 Sept.

1. Sign up for kitchen training at Servin mökki

Would you or your association like to organise a major party at Smökki and take care of catering by yourself? Are you uncertain how to use a catering kitchen? There is a solution to your problems: kitchen training at Smökki.

The training session will be organised in the kitchen of Smökki starting at 4pm on Monday, 28 Sept. The maximum of 20 people can attend the training session.

2. Volunteers needed for herring breakfast!

Do you have an energetic group of 10-15 people? Do you need money for an excursion or other project? Now you have an opportunity to make some money! Come and organise herring breakfast that ends the Teekkarius143 week together with your friends and make some money at the same time! The breakfast is organised at Servin Mökki on Sunday starting at 12noon on Sunday, 8 Nov 2015 and you should work on that Sunday and a little bit in advance. If you want, you can also be more involved in the implementation of the breakfast, starting from the planning phase.

If you are interested, please send an informal application to sirius.vuorikoski@ayy.fi as soon as possible, however, no later than 12 Oct. The application should include information on the size of the group, any previous experience, why we should choose your group, possible ideas for the breakfast and your fee. If you have any questions, please get in touch on time.

3. AYY’s Representative Council elections are approaching – stand for election by Wed, 30 Sept

This year, AYY’s members again have the opportunity to stand for election and vote on the composition of the Representative Council. In the Representative Council elections, AYY’s Representative Council of 45 members is elected for the next two-year term. The Representative Council has the highest decision-making power in AYY. The council decides on your membership fee and the student union regulations, among other things. The Representative Council is always elected for two years at a time.

The nomination for candidates will end at 12noon on Wednesday, 30 Sept. Collect your list and join the elections! Further information on running as a candidate is available here: /vaalit/for-candidates/?lang=en. AYY’s Representative Council elections are organised on 3-4 Nov 2015 and you can vote in advance on Mon, 26 Oct-Mon, 2 Nov. More information on the elections is available at ayy.fi/vaalit/?lang=en and you can read the minutes and agendas of the Representative Council at inside.ayy.fi.

1. AYY’s Association Regulation addressed by the Representative Council on 17 Sept

AYY’s association regulation will be addressed in the next Representative Council meeting on 17 Sept. The meeting will open a section which defines the obligations of associations in the first list. The meeting will particularly address the context which defines how association funds should be used when the association is dismissed or discontinued. Due to the process, the specialist’s advice on rule amendments may be delayed until the association regulation is updated.

2. Sign up your association for Campus Expo by 15 Sept!

AYY’s Campus Expo is an expo event for all Aalto students organised by Community Committee Aava. Campus Expo will be held on Tue, 22 September in OK1 main building (Otakaari 1, Otaniemi). Stands are open from10am-2pm and from 4pm onwards special status association facility / guild room tour, and AYY can give a free facility to some associations to arrange an open event in the evening. All special status associations, committees, clubs and other associations are welcome to participate in the event. This is a great opportunity to introduce your association to new students! Sign up at http://lomake.ayy.fi/aava/kampuskarkelot-22-9-2015/. Registration will end on 15 Sept. Welcome to the expo!

3. Your association to join Otatarha race?

The traditional Otatarha race, a festival-like car racing event, is here again on 30 September. Would your association like to be a part of this event by hosting your own checkpoint? We would like the event to be even more audience-friendly this year, offering the audience more activities besides the actual car/vehicle-racing. We warmly welcome association checkpoints that somehow activate people and offer them something to do. The checkpoint can be a “team checkpoint”, where a group of people is doing something together, or a single-person activity. What is most important is that the checkpoint is fun.

If you have an idea (you don’t have to have all the details specified or decided yet) and you would like to participate in the best Otatarha race event this year, please send an email to sirius.vuorikoski@ayy.fi. If you are interested, please let us know no later than two weeks before the event, i.e. at the latest on 16 September, so that we still have time to figure out what to do and go through the details if there’s need for that.

The traditional Otatarha race, a festival-like car racing event, is here again on 30 September. Would your association like to be a part of this event by hosting your own checkpoint? We would like the event to be even more audience-friendly this year, offering the audience more activities besides the actual car/vehicle-racing. We warmly welcome association checkpoints that somehow activate people and offer them something to do. The checkpoint can be a “team checkpoint”, where a group of people is doing something together, or a single-person activity. What is most important is that the checkpoint is fun.

If you have an idea (you don’t have to have all the details specified or decided yet) and you would like to participate in the best Otatarha race event this year, please send an email to sirius.vuorikoski@ayy.fi. If you are interested, please let us know no later than two weeks before the event, i.e. at the latest on 16 September, so that we still have time to figure out what to do and go through the details if there’s need for that.

4. Invitation to Campus Expo Kampuskarkelot on 22 Sept

AYY’s Kampuskarkelot is an expo event for all Aalto students organized by community committee Aava. Kampuskarkelot will be held on Tue, 22 September in OK1 main building (Otakaari 1, Otaniemi). Stands are open from 10am-2pm and from 4pm onwards special status association facility / guild room tour, and AYY can give a free facility to some associations to arrange an open event in the evening. 5. Call for applications for student representatives in the administration of Aalto University

The Aalto University Student Union has decided on 24 August 2015 to open a supplementary call for applications for student representatives in the administration of Aalto University to the joint administrative bodies and the working groups of Aalto University. The term begins immediately after the nomination and lasts until the end of the year 2015. Students of Aalto University can apply for the position of the student representative in administration.

The application period will begin on 24 August 2015 and end on 7 September 2015 at 23.59 p.m. by which the applications must be delivered. The application is completed electronically. The electronic application forms are available at the website https://www.halloped.fi/en/aalto/calls. The instructions for applying are available at the recruitment website for the volunteers at Aalto University Student Union at /en/student-union/student-advocacy/student-representatives/.

The Student Union wishes that the applicants also include international degree students as well as representatives of both genders and various schools. Other languages than Finnish can be used as working language in the bodies of University unless stated otherwise in the description of the body.
The Board of the Aalto University Student Union will appoint the student representatives to the administration at its meeting in September.

1. Ahto Harmo appointed as AYY’s organisational affairs and communications specialist

Organisational affairs and communications specialist Ahto Harmo started in his position in Aalto University Student Union at the beginning of August.
Harmo is a 27-year-old history student from the University of Helsinki. Previously, he has acted in several positions of trust in the Student Union of the University of Helsinki. In addition, he has been active in several student organisations and currently acts in cultural and entrepreneurship associations.

1. PICK UP YOUR ASSOCIATION MAIL FROM AYY’S LETTERBOXES

AYY’s association letterboxes are overflowing. Please come and pick up your association mail in order to make space for new mail!

2. REGISTER YOUR ASSOCIATION TO TAHLO DATABASE

AYY has began to use Tahlo system used for the operating grant applications as the official association database. The former system will be administered until the operating grant allocation next year, so that associations are not removed by accident.

Tahlo is now open and you can freely edit the information there, with the exception of the application form for the operating grant. Please keep your association information up-to-date, correct contact details, in particular, are very important. The current plan is that Tahlo is open until the end of the year. The system is available at http://tahlo.ayy.fi

Currently, only 180 of the 212 associations in AYY’s association register can be found at Tahlo. If your association is missing, please add your association to the system now! If your association no longer operates or if you want to leave AYY’s association register for one reason or another, please contact the association specialist. We will contact the missing associations during June. Associations that have not been active for two consecutive years will be removed from the association register.

Some changes will still be made to the system. Errors and problems noticed during the allocation of operating grants will be collected during May and the purpose is to fix the problems in June. So if you have noticed, or will notice, any problems in the system, please inform the organisation specialist.

3. AYY EVENTS – AYY OPENS A FACEBOOK GROUP FOR EVENT MARKETING!

AYY opens a Facebook group ”AYY Events”, where different organisers can advertise their events. The group will be opened during June. AYY will provide more information when the group is opened. In the group, members can publish non-commercial events aimed at Aalto students. The group can be used by all AYY’s members and associations. The group is unofficial and informal and events published in the group are not transferred to AYY’s other communication channels.

4. CLUB ROOMS AVAILABLE AT THE UNIVERSITY

The campus develops at a fast pace and now organisations have the opportunity to receive new facilities for their use. If your association is interested in having a new club room from the university premises, please send a brief message to tilat@ayy.fi,  which includes at least the following information:

– Brief description of the association
– Brief description of the intended use of the club room
– If you are offered a club room, approximately how often will you organise activities there?
– Which buildings would be the most suitable for your use?
– How many persons would be present in the club room during typical use?
– What would be the maximum number of persons in the club room?
– Do you need a water faucet?
– Other special needs or wishes

5. STORAGE SPACE AVAILABLE AT JÄMERÄNTAIVAL 10 AND 11

Hoas buildings at Jämeräntaival 10 and 11 have plenty of small storage facilities available. The average size of storage space is approximately 5 square metres. If your association is interested in renting storage space, please send email to anna.lassus@hoas.fi. The rent and other terms of the contract must be agreed in more detail with Hoas. Buildings will be renovated in the coming years, due to which storage facilities will be temporarily out of use for some time.

1. SUBMIT YOUR EVENTS FOR AYY’S ACADEMIC YEAR CALENDAR 2015-2016, DL 26 MAY

Associations and actors within AYY have the opportunity to submit important event dates for the student union’s academic year calendar. Events can be submitted through the google docs file linked below until Tuesday, 26 May 2015. Please add your events under the correct month in chronological order. Please enter the text you want in the calendar ”Event name/Text” field (yellow background). Please note that one line can hold up the maximum of 25 characters of text, including spaces. When writing the text, please consider how many lines from your own calendar you wish to be ”wasted”. The calendar is trilingual so please take this into account when planning the text.

If there are several events marked on the same date, the event that concerns most of the students will end up in the calendar. The file is editable until the provided deadline 26 May 2015, until which you can make changes to your events. Please fill out the columns carefully, and check and double check that the information is correct. Please also remember to include information on who is organising the event.

3. OPERATING GRANTS ALLOCATED FOR THE YEAR OF 2015

AYY Board has made decisions on the operating grants for the year of 2015 at its meeting 23/2015.

Each association is informed about the allocated amount separately via email. In addition, the amount of the grant and grounds for particularly major or other significant changes has been updated to the association database Tahlo. If you have not received the email or cannot find the amount on Tahlo, please contact the organisation specialist (jarjestoasiat@ayy.fi).

The entire list on the allocated grants is available here.

A total of 151 associations applied for the operating grant, of which 17 were special status associations. A total of EUR 18,000 was granted to special status associations and EUR 48,989 to other associations. The total amount of the operating grants increased from the previous year since the funds previously allocated  for project grants and increased operating grants were transferred to operating grants in the budget. In 2014, EUR 17,150 of operating grants was allocated to special status associations and EUR 41,975 to other associations.

In addition to the increase in the total amount of the grants, the scoring model prepared and approved in 2014 was now used for the first time. As a result of the new scoring model, the amounts granted to major associations decreased slightly and there was more emphasis on communal, interdisciplinary and international activities.

In connection with the allocation of grants, it was checked that each association that received the grant fulfills the terms in the first list of AYY’s association register. The allocated amount was reduced as a sanction for missing or unexplained late attachments.

4. AYY LAUNCHED A NEW ELECTRONIC ASSOCIATION DATABASE
