1. SUBMITTING OF ASSOCIATION NOTICES AND THE APPLICATION PERIOD OF THE OPERATING GRANT TO BEGIN ON FRIDAY, 1 MARCH

The submitting of AYY’s association notices and the application period for the operating grant will begin on Friday, 1 March. The notice and application period will last from Friday, 1 March to Monday, 1 April. All associations approved in the first list of AYY’s association register may apply for the operating grant. Associations in the second list of the association register and those associations which do not apply for financial assistance this year only have to fill out the association notice section at the beginning of the application form. Please note that each association in AYY’s association register must submit at least one association notice. If the association notice is not submitted in two consecutive years, the association will be removed from AYY’s association register.

The application form is available from Friday morning, 1 March onwards at https://lomake.ayy.fi/yhdistykset/ayyn-toiminta-avustushakemus-2013/. Further information on the application is available at /grants-for-associations/, which includes the scoring model used for the allocation of the operating grants and the grant amounts of the previous year. You should also bear in mind that the prerequisite for the operating grant is the association profile at AYY.fi, and the associations are responsible for updating their profiles. If you have lost your user name or otherwise need help with updating your profile, you can send e-mail to jarjestoasiat@ayy.fi. At the same address, you can receive additional information and help with the association notice and the operating grant application. You can also contact us by phone at 050 520 9442. The best time to reach the organisation specialist by phone is on weekdays from 10am to 2pm.

You can browse the fields in the application form in advance at /wp-content/uploads/Avustushakulomake-2013.pdf (opens as a pdf-file in finnish. The final application form will be available in english as well).

2. SUBMIT YOUR EVENTS FOR AYY’S ACADEMIC YEAR CALENDAR 2013–2014

Associations and actors within AYY have the opportunity to submit important event dates for the student union’s academic year calendar. Events can be submitted through the google docs file linked below until Sunday, 26 May 2013. Please add your events under the correct month in chronological order. Please enter the text you want in the calendar ”Event name/Text” field (yellow background). Please note that one line can hold up the maximum of 25 characters of text, including spaces. When writing the text, please consider how many lines from  your own calendar you wish to be ”wasted”. The calendar is trilingual so please take this into account when planning the text.

If there are several events marked on the same date, the event that concerns most of the students will end up in the calendar. The file is editable until the provided deadline 26 May 2013, until which you can make changes to your events. Please fill out the columns carefully, and check and double check that the information is correct. Please also remember to include information on who is organising the event.

3. APPLY FOR THE CAMPUS GUERRILLA GROUP

Do you  want to influence the world’s best campus through concreteness? AYY is looking for a campus guerrilla group to implement a concrete idea generation platform on Otaniemi Campus.

The project generates ideas and constructs concrete physical brainstorming facilities for the campus. The facilities will be located in Urban Mill building next to Design Factory. The physical brainstorming space implemented in the project will remain after the project as a space where you can view and comment on the development of the campus. In the project, you have the opportunity to concretely influence Otaniemi Campus in a compact project team of 7 members. One chairperson and 6 members are recruited to the team. We are looking for team members ranging from freshmen to old hands.

Background:

Aalto University’s main campus will be located in Otaniemi, where students of different fields encounter. Our main campus will also be a key part of T3 area (science, arts and economics) located in Otaniemi, Keilaniemi and Tapiola in Espoo.

Schedule:

  • Recruitment for the project team is open: 8 Feb-25 Feb
  • Implementation of the project: February-April
  • Opening of the facilities in April
  • The facilities are open to students, staff, researchers and the city from April onwards.

4. TOOLS FOR ANXIOUS SITUATIONS WORKSHOP

The workshop is intended for students whose anxiety affects their studies and who would like to find tools for coping with anxiety. There are many types of anxiety, one is nervous to perform, others fear social situations or might be anxious about something else.

The workshop provides an opportunity to handle different situations and anxiety in general – usually from the participants’ own starting points. The workshop includes six meetings (two hours/meeting). The workshop is led by Study Psychologists Minna Nevala and Vuokko Tierney.

  • Meeting times: Mondays, 12noon-2pm, 11 March-22 April (not on Easter Monday, 1 Apr)

1. AYY’S IMPROVED FACILITY BOOKING PRACTICES

The booking status of all AYY’s facilities and the van can now be checked electronically. Real-time forms are available at ayy.fi/tilojen-vuokraaminen. You can also submit a facility reservation request with the electronic form available at https://lomake.ayy.fi/hallinto/tilavarauspyynto/. Unfortunately the content of both forms is only available in Finnish for now.

The reform aims to serve AYY’s members and student organisations better and reduce the workload of the services office. Comments and suggestions concerning the reform can be sent to Producer Tuomas Saloniemi (tuomas.saloniemi@ayy.fi, tel. 050 520 9435)

The advance booking event for the facilities in the autumn will be most likely organised on Thursday, 16 May 2013. AYY will inform about the booking event in more detail closer to the event.

Are you interested in the Associations Act and particularly the rule issues of the student union and student associations? Join AYY’s rule committee! The rule committee acts as the observer and developer of the student union rules and helps the associations operating within AYY with rule technical issues. The rule committee has drafted the model rules provided for the associations, among other things. In accordance with the Associations Act in Finland, the official rules of the associations must be in Finnish and therefore the working language of the committee is Finnish.

The term of office of the rule committee is a calendar year and the committee members are appointed by AYY’s Board.

The application period is open between 23 Jan–6 Feb 2013. You can apply at https://lomake.ayy.fi/rekry/saantotoimikunta-stadgekommitten-regulation-committee/.

3. MAIN ADMINISTRATOR NOTIFICATIONS FOR OTAX MUST BE SUBMITTED BY 28 MARCH

Otax is the web hosting service for the associations maintained by AYY. Details can be found at /website-services-on-otax/. If your association uses Otax, please notice that the main administrator notifications for Otax must be submitted by 28 March. For those accounts for which the notification is not made, the user names will be locked on 1 April. After one month, the website of the account will also be closed.

So please update your PHP applications at Otax to the latest versions and then fill in the administrator notification. Please remember to mention which software and versions are running. Also clear additional SSH keys from .ssh/authorized_keys file.

You can submit the notification at http://yhdistykset.ayy.fi/yllapitajailmoitus/ – please submit your notification on time and fill it out carefully.

4. AEGEE-HELSINKI SECOND HAND BRUNCH

AEGEE-Helsinki invites you to second hand brunch at 12noon on Sunday, 3 Feb. You can arrive between 12noon and 4pm, but we cannot guarantee that there is brunch left for the last comers 😉 The event is open to everyone, you can take a friend with you!

Idea: Bring clothes, shoes and accessories which you no longer need to the flea market for free, and find new additions to your wardrobe from other tables. You can either buy or exchange items, everything is negotiable with the seller of the goods. In connection with the fleamarket, we enjoy brunch in good company.

Instructions: It is advisable to price the products in advance. Please also take cash and small change with you.

How to get there: The event is held in our office Gustavus Rex (Domus Academica) at the address LeppĂ€suonkatu 11, Helsinki. Press the buzzer “Gustavus Rex”, and someone will open the door for you.

5. VOGUING DANCE COURSE AT POLIJAZZ

Try out the new hit dance VOGUING in the intensive course of the dance association Polijazz in February!!

Course description: Voguing is a showy and feminine dance style from the clubs of New York. The dance emphasises the graceful movement of arms and a self-confident attitude and it is very much influenced by the fashion world. In the intensive course of Polijazz, we go through the basics in two voguing styles: vogue new way and vogue femme, learn poses, catwalk

and dips, and a short choreography is made on both days.

The two-day intensive course is organised in Otaniemi, Espoo, in early February:

  • Sat, 2 Feb, 12.30pm-2pm Otahalli mirror hall (Otaranta 6)
  • Mon, 4 Feb, 4pm-5.30pm JĂ€merĂ€ntaival 3A multi-purpose facilities

Voguing is taught by Lilli Huttula. The course fee is €14.

4. AYY’S ASSOCIATION GUIDE DISTRIBUTED AT THE CENTRAL OFFICE AND ONLINE

In connection with the association training in December, AYY also published its new association guide. The guide is intended for associations and there is about 1 printed version reserved for each association. You can collect your own copy from AYY’s central office at LĂ€mpömiehenkuja 2. Alternatively, the exact same guide is also available online where you can print it yourself. There are also Swedish and English versions of the guide.

5. AALTO AIKIKAI ORGANISES AIKIDO PERFORMANCE AT 5PM ON MON, 28 JAN, AND THE BASIC COURSE FOR BEGINNERS

Aalto Aikikai will organise an aikido performance in the tatamihall at JÀmerÀntaival 5 on Monday, 28 Jan. The basic course for beginners will begin at 5pm on Thursday, 31 Jan. Further information is available on the website of the club: www.aaltoaikikai.ayy.fi.

6. POLIJAZZ’S SPRING TERM TO BEGIN!

Polijazz’s weekly classes will begin on 24 Jan 2013 and continue until the week of May Day. You can also join in the middle of the season. A newcomer in the regular weekly classes is street dance HOUSE (exceptionally to begin in March). The schedule of the weekly classes in the spring is as follows:

  • CONTEMPORARY DANCE, BEGINNERS Thursdays, 4.30pm-5.45pm / Teacher Sini Heinonen
  • CONTEMPORARY DANCE,  ADVANCED Thursdays, 5.45pm-7pm / Teacher Sini Heinonen
  • BREAKDANCE Thursdays, 7pm-8.15pm / Teacher Tuomo Tapanila
  • HOUSE Mondays, 4.30pm-6pm / Teacher Helena Taylor NB! Classes do not begin until 4 March 2013

In addition, Polijazz organises intensive courses in different dance styles throughout the spring (including VOGUING, DANCE IMPROVISATION, LYRICAL JAZZ, STREET and SALSA). 7. GLIDING THEORY COURSE OF POLYTECHNIC AVIATION CLUB

Polytechnic Aviation Club will organise a gliding theory course. According to the preliminary schedule, the course will be held in February-March on Mon-Wed nights and over a couple of weekends. The price of the theory course is EUR 200, including material and teaching. You can practise flying in RÀyskÀlÀ in the summer. The introduction of the course will be held in the club room Murju in Otaniemi (JÀmerÀntaival 7) at 6pm on Thursday, 31 Jan.

1. AYY’S 3RD ANNUAL PARTY ON SATURDAY, 2 FEB

Welcome to celebrate AYY’s third annual party at Event Arena Bank on Saturday, 2 Feb! There will be a three-course dinner with speeches, music performances, stand up, a balloon artist, as well as a great afterparty. Tickets to the afterparty will be sold separately during week 4.

The dresscode of the night is ”cocktail”. On Sunday, 3 Feb, the anniversary brunch is served at Design Factory from 12noon onwards. There is a bus service to the brunch. Registration and further information on the party is available at www.vuosijuhlat.fi and Facebook .

2. AYY’S BOARD WAS ORGANISED – TUUKKA PYKÄLÄINEN IN CHARGE OF ORGANISATIONAL AFFAIRS FOR THE YEAR OF 2013

The Student Union’s administrative and executive power is exercised by the Board appointed by the Representatve Council. The term of office is a calendar year. The Board takes care of the Student Union’s routine matters and represents the student union. In all operations, the Board is liable for the Representative Council. Each board member has one or several sectors for the operations of which they are in charge of.

In the Board of the year 2013, Tuukka PykĂ€lĂ€inen is in charge of organisational affairs. Tuukka studies industrial design at the School of Arts, Design and Architecture and has previously acted as the chair of NUDE Young Designers’ Association in 2012. Tuukka can be reached by email at

3. SMÖKKI KITCHEN TRAINING ON TUESDAY, 22 JANUARY

AYY will organise a training which entitles to the use of Smökki kitchen on Tuesday, 22 January at 6pm in the kitchen of Smökki. You need the training in order to use the above-mentioned kitchen. 5. BRING YOUR ASSOCIATION TO CONTROL CHECKPOINTS IN THE WINTER DAY!

The spring season is about to begin and a sure sign of this is the winter day organised in Otaniemi on Tuesday, 22 January. If your association wants to control checkpoints in the event, please sign up in here. The form is open until Saturday, 19 Jan.

Checkpoints are open between 2.30pm-5pm, the afterparty at Smökki from 8pm onwards (admission €3). More detailed instructions will be sent for those who control the checkpoints via e-mail. Additional questions can be sent to Freshman Major Hamilkar Bergroth at hamilkar.bergroth@ayy.fi.

7. CONGESTED SERVICE OF PRH’S ASSOCIATION REGISTER

The association register maintained by the National Board of Patents and Registration is very congested. At the moment, regulatory changes, in particular, take from seven to nine months to be processed. The establishment notifications of associations are still processed in a couple of months and the changes in signatories are handled even more rapidly. According to PRH, the service is congested due to human resources.

PRH points out that the more the associations process their affairs electronically online, the quicker the officials can do their work.

8. AYY UNCOVERS – INSIDER INFORMATION ABOUT JOBS!

Do job postings often look the same? Is it difficult to find out from the ads what kind of a job/organisation/team is looking for employees? AYY wants to help!

AYY – in cooperation with companies – offers AYY Uncovers video blog, where the real employees in companies tell about their background and future prospects in the form of video interviews!

9. REHEARSAL HOURS OF FC KISSAT HAVE CHANGED

Hi all female students who have been bitten by the football bug! Aalto women’s soccer team, FC Kissat, has started to train in Unisport facilities in Viikki since January! The rehearsals are always held on Wednesdays, 6.30pm-7.30pm, in Viikki (address Maakaari 3). If you are interested in playing soccer in good company, you are welcome to join our activities.

1. ASSOCIATION TRAINING AT DESIGN FACTORY ON 4 DEC

AYY’s association training will be organised at Design Factory in Espoo from 5pm onwards on 4 Dec. Training is intended for old and new operators in the member associations of AYY’s association register. You can also show up if you are interested in organisational activities or consider the establishment of a new association. Training is suitable both for beginners in association activities and more experienced actors. If you are very experienced, you should consider in advance in which training sections you would like to participate and attend accordingly. The first section, which is the same for everyone, mainly addresses issues related to AYY and Aalto community as well as the operating grants, whereas the latter group-specific programme covers the twists and practical arrangements of association activities. Training will end at 8pm at the latest.

Some refreshments will be served in the training but it is better brings snacks if you think that you will get hungry during the intense training period of three hours. Unfortunately, training is arranged only in Finnish. Facilities are accessible in a wheelchair.

2. AYY’S BOARD AUTOMATES THE START-UP GRANT FOR NEW ASSOCIATIONS

AYY’s Board decided at its meeting 44/2012 on 16 Nov 2012 to henceforth allocate the start-up grant to all new associations which join AYY’s association list. The start-up grant includes the registration fee of the National Board of Patents and Registration of Finland and 100 euro for the establishment of association activities (total of €175 in 2012). However, this decision is valid with the condition that the Board can change the decision at any suitable time.

3. APPLICATION FOR AYY’S SECTIONS AND OTHER VOLUNTEER DUTIES IS NOW OPEN

Spend a different and memorable year of 2012 and make the student union more like you. For the year 2013, there are duties in various sections and committees, or you can act as a grand vizier, for example. So come to work within cultural events, the reception of new students,  international affairs and communications. The application period for the sections is open between 16 Nov–1 Dec. The same application period also applies to those who apply for the chairperson’s position. A more detailed application schedule is available at www.ayy.fi/stop. At the same address, you can also apply for a variety of duties, which the Student Union offers to you.

4. MENU FAIR FOR VOLUNTEER ACTIVITIES ON 28 DEC

Are you pondering on the future challenges of the working life? Get prepared – become a volunteer and accumulate your skills!

In volunteer activities you learn valuable skills comparable to work experience. You can learn, for example, interaction, organising, meeting and negotiating skills! Come to Menu volunteer fair and get to know the selection of volunteer activities in the metropolitan area.

The fifth MENU fair will be organised at the Old Student House in Helsinki at Mannerheimintie 3 on Wednesday, 28 Nov 2012, 1pm–6pm. There is a free admission to the fair! There are a number of exhibitors and activities range from the environment, animals, wellness, culture, development cooperation, youth exchange, sports, as well as issues related to children, the young and the elderly. President of the Republic Sauli Niinistö is the protector of the event. The programme in the music hall is hosted by Artist Cata Mansikka-aho and the cafĂ© dates of four generations are hosted by Jama Jama and Tuulikki PetĂ€jĂ€niemi.

1. ASSOCIATION TRAININGS

AYY’s association training organised on Tuesday, 4 December, is approaching fast. Registration is now open at https://lomake.ayy.fi/yhdistykset/yhdistyskoulutus_2012/. A detailed schedule will be announced later, but certain topics are association rules and their modification, archiving, communications, finances and meeting technique. If you are interested in a particular topic, you can still suggest your own topic by sending e-mail to jarjestoasiat@ayy.fi.

It is particularly important that this year’s association actors recommend the association training to new actors who were/will be elected in the autumn meetings. For them, association training provides a natural start to association activities.
