1. AYY’S CAMPUS EXPO IN OTANIEMI AND TÖÖLÖ, 19-20 Sept at 10-14 o’clock

AYY’S Campus Expo is here again! Campus Expo is an informal two-day expo to all Aalto members and particularly the associations that operate under AYY. The event provides an opportunity for associations to present their activities to Aalto members, recruit new members and initiate cooperation with other associations. This year, the event will be arranged in Otaniemi on 19–20 Sept and in Töölö on 20 Sept at 10-14 o’clock (at main buildings).

Associations can present themselves on both days in Otaniemi and on the second day in Töölö. You can also spend one day at each location or just one day in either location, whatever suits you best. Your presentation stand can be anything that describes your association, ranging from a quiet stand to an elephant or from a couch group to a bouncy castle – the only limits are your imagination and the facilities. The aim is to present the activities of your association in a unique way. You can decide how to do it! However, please let us know about your space requirements in advance so that we can reserve a suitable place for you. Also consider if you could join forces with some other AYY association in order to achieve even a greater spectacle. Event visitors will vote for the best stand in Campus Expo, and the winner will be rewarded with an opportunity to use AYY’s premises!

2. TIP OF THE WEEK: A NEW TOOL FOR MAKING APPOINTMENTS

A new service for making appointments is provided for associations and organisations. In addition to the web application, ZapMeet service also includes text messages. The service is free for associations and organisations and it can be viewed at http://www.zapmeet.net.

1. USING THE EVENT CALENDAR ON AYY.FI

The communications sector of the Student Union has received many inquiries about using the event calendar on ayy.fi. The event calendar is published on the right side of the front page of ayy.fi and it always shows 10 latest events. Each association can, and each association also should, add their events to the calendar after receiving the user name for ayy.fi. Events from the event calendar are automatically added to the newsletter on that week. You can inquire the user name from AYY’s Web Developer Rekik Haile (rekik.haile@ayy.fi)

2. AALTO UNIVERSITY’S DECISION ON SPONSORING STUDENT ASSOCIATIONS

Aalto University’s President Tuula Teeri has made a decision on sponsoring student associations. Aalto University will sponsor only the events which concern the whole university or the student union. Universities are responsible for sponsoring school-specific events. Sponsoring for the schools in the field of technology is coordinated by Mauri Airila through TKK’s support foundation. Deans coordinate sponsoring in the other schools. The decision is also available on

3. LAKINLASKIJAISET PARTY AT DIPOLI ON 30 SEPTEMBER

The greatest Dipoli party of the year – Lakinlaskijaiset – will shake the ground of Otaniemi again on 30 Sept! This year, Klamydia and Aikakone entertain the crowd on the Main Stage and Dipoli offers everything from karaoke to dancing on the tables. The biggest party of the Student Union does not leave you cold, whether or not you happen to own the tassel cap of technology students! In honour of Friday, the party will continue until 3am and extra buses run from Otaniemi to the city centre.

Tickets sales will begin at Alvari lobby at 10am on 19 Sept! More specific information is available at ayy.fi, Facebook (http://www.facebook.com/event.php?eid=274189232594877) and from 5 Sept onwards at www.lakinlaskijaiset.fi. The age limit to the event is 18 years.

4. WORK AT LAKINLASKIJAISET PARTY?

In order to succeed, the biggest Dipoli party of the year needs dozens of helpful hands. There are tasks for every taste ranging from security duties to carrying equipment and from decoration to ticket sales.

In return, you will get a free entrance to the party, overall badge, opportunity to get the pink ribbon of the party committee and access to the after party arranged for the employees. In October, all employees can also participate in the legendary finishing party.

5. ARE YOU INTERESTED IN ALUMNI ACTIVITIES?

Dear student – a future alumna! Would you like to network and work together with the graduates, the alumni? Are you interested in their career stories and working life experience? What else could the university’s alumni relations mean to you? After the summer, we have focused on Aalto University’s alumni relations and we want to develop our activities and services and make them even better.

Therefore, we have created a survey related to our operations and we hope that you will respond to it. Please tell us how we have succeeded in our work so far and what do you expect from us as a student. It takes approx. 5-10 minutes to respond to the survey. Please send your feedback by 15 September. 6. THE GUILD OF MECHANICAL ENGINEERING LENDS PA EQUIPMENT

From this autumn onwards, you can inquire PA equipment from the host of the Guild of Mechanical Engineering. Last spring, KIK-IE guild purchased PA equipment which includes two passive speakers with stands, subwoofer, amplifier-mixer and a wireless microphone. The set is very good for sitsi parties, outdoor events and smaller parties.

You can borrow the equipment according to your own needs; if you do not need the wireless microphone or the subwoofer, for example, you do not have to pay for them. Prices in 2011: amplifier, speakers and stands 25€, subwoofer 10€, wireless microphone 10€.

7. AUTUMN TERM OF POLIJAZZ WILL BEGIN

The autumn term of Polijazz, the dance club of technology students and Aalto members, will begin! This autumn, Polijazz offers students regular weekly classes and intensive courses in various dance types! Regular weekly classes will begin on week 37 and continue until the week 49. In addition, Polijazz organises intensive courses in various dance types on Mondays and Saturdays during the whole autumn! Intensive courses will begin a week after the regular classes, and the registration and course fees are separate for each course. There will be many interesting courses, such as show jazzz, advanced course in breakdance,street dancee and pilates or ballet!

The membership fee of Polijazz for the autumn term is 35 euro for one regular weekly class. Additional weekly classes cost 45 euro for 2 hours per week and 50 euro for 3 hours per week. Classes are paid to Polijazz account 130930-59683, Nordea Otaniemi, with the reference 13. You can try out the first class for free!

1. CAMPUS EXPO, 19–20 SEPT

AYY’s Campus Expo is here again! Campus Expo is an informal two-day expo to all Aalto members and particularly the associations that operate under AYY. 2. NEW PARKING SPACES IN TEEKKARI VILLAGE RENTED TO ASSOCIATIONS

In September‒October 2011, AYY will construct approximately 12 new gravel parking spaces in the area of Jämeräntaival 5 and 7 in Teekkari Village, which are primarily rented to associations in AYY’s association register. The rent of the parking space is 7 euro/month.

Parking spaces are distributed on the basis of applications in a means-tested order. Applications should be submitted by email to jarjestoasiat@ayy.fi with the subject “Yhdistyksen parkkipaikkahakemus” by Tuesday, 13 Sept 2011. 3. REMINDER ABOUT THE PRACTICES OF THE ASSOCIATIONS LIST

In the spring of 2011, the practices of the association list yhdistykset@list.ayy.fi:n changed. Previously, it was allowed to send notifications and messages to the list concerning almost any issue.

Based on feedback and our own discretion, we decided to change the list to the current form where only the association newsletter and very urgent messages which we consider important are sent to the list once a week. The association newsletter is sent to the email list in Finnish and it is also available at AYY.fi. AYY’s website also has the association newsletter in English and Swedish.

In order to get your own message to the association newsletter, please send your message by email to  joonas.jylha@ayy.fi. The association newsletter is sent to translators on Wednesday  and therefore the deadline of the newsletter is always 10am on Wednesdays. We hope that you actively send information concerning your events, requests etc. to be published in the association newsletter.

1. ADVANCE BOOKING OF PREMISES FOR THE AUTUMN OF 2011

The booking of premises has begun! AYY’s van and the premises rented on one-time basis can be booked in advance for the period 22 Aug 2011- 22 Jan 2012. If you want to book premises in advance, you have to fill out the advance booking form by Wednesday, 18 May. The form is sent to the association list as a separate message.

The list of premises available for booking can be found at AYY.fi /blog/2011/05/11/tilojen-ennakkovaraus-syksylle-2011/. On Monday, 23 May, we will organise a premises booking event. Each association which has made an advance booking must attend the event in order to defend their reservation in case of overlaps. The event will most likely be organised in TKK’s main building at 5pm.

2. ADVERTISE YOUR ASSOCIATION’S EVENTS FOR AYY’S CALENDAR

Associations have the opportunity to advertise the next year’s events for the Student Union’s calendar 2011-2012. The event advertising happens at Google docs: https://spreadsheets.google.com/ccc?key=0ArnDlXGvbkaXdEN2bi10YVJIV05WSjVYM3lrY3hibHc&hl=en&authkey=CIyi77MM#gid=0

Due to a busier calendar schedule, events must be added to the file already by 12noon on 25 May 2011! Add the events which date you already know to docs IMMEDIATELY and add the remaining events right after the booking of premises is finished.

3. TUPSAHDUS CONCERT ON 14 MAY

Tupsahdus Concert will be arranged in Espoo Cultural Centre in Tapiola at 6pm on Saturday, 14 May. The music associations of Aalto University Student Union will perform in the concert. The performers include Dominante, PoliRytmi, Polytech Choir, Polytech Orchestra and Retuperän WBK. Tupsahdus concert is a unique opportunity to hear the star performers of Otaniemi music associations during one night!

This year, the concert will once again be open to students and tickets are available for 8 euro in advance or at the entrance for the price of 10 euro one hour before the concert. Tickets will be sold in the lobby of the main building of the former School of Technology on 10-12 May, 10am-2pm, and at Otaniemi service point (Secretariat) and Tiketti.

1. AYY allocated the operating grants for the year 2011

AYY’s Board has decided the amounts of the operating grants for the year 2011. The results are available at AYY.fi: / jaetut-toiminta-avustukset-2011/. The page lists all the associations which were allocated the operating grant this year. A plus sign indicates an increased operating grant. If you have any questions about the grants or if you want to give feedback on the process, you can reach everyone in the operational sector at jarjestoasiat@ayy.fi. We are very pleased to receive feedback and suggestions for development!

2. The association’s AYY.fi profile as a requirement for receiving the grant

As we notified you before the allocation of the operating grants, the requirement for receiving the operating grant for the year 2011 is to have a valid and up to date association profile in AYY.fi. Please check immediately what is the situation of your association. If your association does not have the user namee for AYY.fi or if you have lost it, please get in touch with Joonas (joonas.jylha@ayy.fi) or our Web Developer Rekik (rekik.haile@ayy.fi). Please write to Rekik in English and you will get a faster reply. ☺

3. Is your information up to date in National Board of Patents and Registration of Finland?

Please remember that whenever the association’s signatories (Chair, Secretary/Vice Chair) or rules change, new information should also be updated to National Board of Patents and Registration of Finland (PRH). It is easy to update information by using the electronic form. If your association is not yet a registered association, PRH’s website has good instructions for registration.

4. Who deserves Women and Technology Prize 2011?

Aalto University School of Electrical Engineering awards Women and Technology prize from Marja-Terttu Tanttinen fund. The prize is now awarded for the sixth time and the award sum is 1,000 euro. The prize aims to encourage women to start studying technology and to facilitate the academic success of women studying technology.

In 2011, the prize is allocated for the women of the future. The prize will be allocated to an idea or project which promotes girls’ and women’s enthusiasm to study mathematics and scientific subjects and to apply for studies in the field of technology. We hope to receive ideas from the guilds of Aalto University School of Technology about how to support mathematical studies of girls in primary, secondary and upper secondary schools. The proposal may be, for example, extracurricular activities in schools led by technology students or some other campaign or project proposal which encourages students to study and which schools could implement by themselves or with the help of technology students or Aalto University. The proposal may also be something that has never been thought before!

The decision for the winner will be done by the scholarship and fund committee of Aalto University School of Electrical Engineering. The prize will be awarded in the autumn of 2011.

A person or group aiming for the prize can register as a candidate. Free-form written proposals with justification can be submitted no later than 3.45pm on 30 June 2011 to Henna Paananen at PL 13000, 00076 AALTO.

AYY will organise training for associations at the end of February

1. AYY’s training for associations in February

AYY’s training for associations will be organised on Monday, 21 Feb, in Otaniemi and Tuesday, 22 Feb, in Töölö from 4pm onwards. The association training provides the associations with important and current information as well as generally useful information on the running of an association. The training includes information on the application of the operational grant and other grants, legal issues related to associations, internationality and AYY’s services for the associations.

Further information on the training and more detailed information on its contents will be added later to AYY.fi and the association newsletters.

2. Amendment notices to the National Board of Patents and Registration of Finland

The turn of the year is a period of changes for many associations and organisations. It is  good to remember that the National Board of Patents and Registration of Finland (PRH) is also interested in certain official changes taking place in your organisation. An amendment notice has to be filed to the association register of PRH when:

  1. the rules of the registered association change
  2. the person authorised to sign for the association changes (when the chairperson changes)
  3. the address of the association changes
  4. the rules of the association are amended

The association members can make a proposal for the board to change the association rules or the board itself can detect the need for change.

The amendment notice can be submitted as an electronic notice or, alternatively, you can download the notification forms to your own computer to be filled. Further information and forms are available on PRH website at http://www.prh.fi/fi/yhdistysrekisteri/yhdistys_muutosten_rekisteroiminen.html.

3. Rental of AYY’s van

Many of you have been asking more specific information on the rental of AYY’s van, so here is some additional information. The employees of Otaniemi service point, especially Tuula Ilmes, can provide more  information on the van rental. You can check the booking situation from the booking excel at AYY.fi but the excel is updated with delay. For the most reliable information, please call directly to Otaniemi service point number  050 520 9400.

4. AYY’s website and the association profile

AYY opened its new website at the beginning of 2011. Just like on the old website, we have reserved space for the associations under AYY to create their own profiles on the new website. Also, the purpose is that each association will announce their own events through the event calendar on AYY.fi. When allocating the operational grants this year, it is AYY’s condition that the association profile has been added to AYY.fi.
