1. Answer AYY’s survey for associations by 3 Oct at the latest!
On Friday 21 Sept, a survey has been sent to the email address your association has provided in TAHLO regarding the development project of community and organisational structures. The goal of the project is to discover via surveys, interviews and discussions how the structures of the Aalto community and the cooperation of the Student Union and the associations within it could be developed in a way that would make the roles of different parties clearer than before. The goal of the project is a more unified student community in which the students of the different schools will be taken into account as equals better than before.

The survey is meant to help chart the associations’ views on what the relationships between parties operating within AYY are based upon now, and how the different associations and student cultures can be taken into account more equally in the operations.

The survey is answered by way of one representative of the association filling in the association’s views on the survey form based on the discussion that was had in the association’s Board meeting or other get-together. So, reserve some time from your meetings next week to answer the survey. The survey can be answered until Wednesday 3 Oct at 11.59 pm. Thank you!

2. AYY service questionnaire 2018 to be passed on to all members
Welcome to answering the AYY service questionnaire! The Student Union produces many different services for its members, such as community, housing and sports services. This questionnaire will help us find out our members’ opinions and experiences of their necessity and quality and the related communication. The questionnaire will produce useful information to support the operational development of both the Student Union and the University.

The research is conducted by the Research Foundation for Studies and Education Otus. For more information on the research, please contact Otus researcher Rasmus Reinikainen (rasmus.reinikainen(at)otus.fi).

Filling in the questionnaire will take about 20 minutes and can be done until Monday 1 Oct. Lots will be drawn from among all respondents for the lucky winners of ten cinema tickets and one free rental space use (excluding Servin mökki or Rantasauna). The winners will be notified personally. The contact details you leave for the raffle will not be connected to your answers.

3. Member lists of Special Status Associations available from AYY
All Special Status Associations whose membership fee has been payable via Oodi in connection with the AYY membership fee can request their member lists from AYY.

The member list includes the members’ names, home municipalities and email addresses. More information about data disclosure can be found in AYY’s member register’s data protection statement at http://rekisterit.ayy.fi/tietosuojaselosteet/jasenrekisteri.pdf (in Finnish). The data will not be disclosed by email but must be collected either in printed form or loaded onto a personal memory drive. Agree on a pick-up time by contacting either AYY’s IT Support (tietotekniikka (a) ayy.fi) or Administrative and HR Manager (johanna.pietilainen (a) ayy.fi)!

Receiving the membership fees from AYY:
The first part of Special Status Associations’ membership fees paid in connection with the annual enrolment were paid out towards the end of August, and the remaining membership fees for this autumn will be paid out during October at the latest.

 

4. Not Cool! – Everyone can interfere with inappropriate behaviour
AYY has started the Not Cool! campaign, which aims to encourage everyone to recognise and interfere with inappropriate behaviour.

In the beginning of autumn, it’s good to think about harassment in general in your own student association. Do we invite everyone to join in on an equal basis? Are we using practices that someone might find discriminatory? Should we create rules or procedures that would prevent harassment and make our community more equal?

If necessary, AYY can provide you with information and support you in enhancing the equality of your activities. You can also grab a campaign poster for your association facilities from the top of the post boxes at AYY’s Central office. Read more about the campaign from the AYY website: /en/notcool #notcool

 

5. Third application round of TTE Fund for 2018 is open!
The third application round of TTE Fund for 2018 is open! The Fund can grant financial aid for all AYY members and the associations within it. TTE Fund supports activities that reach for the stars, get other people excited and can be seen and heard.

You can apply for grants from TTE Fund in two ways: through the application rounds arranged approximately three times a year, or via the continuous application process which is open during semesters. Via the continuous application process, the maximum amount of a grant is 2000€, whereas the amount of project funding in the actual application rounds is not limited.

Application time for the third round of 2018 ends on Sunday 30 Sept 2018 at 11.59 pm. Instructions for the application and its attachments can be found on the Fund’s website at https://tter.ayy.fi/hae-avustusta/briefly-in-english/. To apply for a grant, fill in the online form found at https://lomake.ayy.fi/tter/hakulomake/.

6. New Aalto International discussion group
The Facebook group Aalto International is now also on Telegram to serve the same purpose, and you can join the group here: t.me/@aaltointernational. The group is for discussion and publicity of activities and events among the Aalto University student community. The group is moderated by AYY as an informal communications channel, and the language of the group is English. Don’t forget the official channels on Facebook: @ylioppilaskunta & Instagram and Twitter: @ayy_fi.

7. AYY: Advocacy now also on Telegram
Does basic income evoke emotions in you, but you don’t know who to share them with? Would you like to bounce around thoughts on open data systems, but your roommate is sick of listening to you? That’s alright, the AYY: Advocacy discussion channel can now be found on the Telegram instant messaging service, too!

AYY: Advocacy is an unofficial and independent platform for advocacy-related discussion and activity at Aalto, in Finland and around the world. Joining the community does not bind you to anything, and you don’t need to be a Student Representative or even an Aalto student to join.

1. Not Cool! – Everyone can interfere with inappropriate behaviour
AYY has started the Not Cool! campaign, which aims to encourage everyone to recognise and interfere with inappropriate behaviour.

In the beginning of autumn, it’s good to think about harassment in general in your own student association. Do we invite everyone to join in on an equal basis? Are we using practices that someone might find discriminatory? Should we create rules or procedures that would prevent harassment and make our community more equal?

If necessary, AYY can provide you with information and support you in enhancing the equality of your activities. 2. Have you encountered harassment or inappropriate treatment at Aalto? Contact AYY’s Harassment contact persons!
Aalto University Student Union has two Harassment contact persons, a man and a woman, who are AYY employees. The Harassment contact persons can be contacted if an AYY member has experienced or encountered harassment within the University community, or if your association wants help with the prevention of harassment.

The Harassment contact persons offer help with identifying harassment and provide counselling, conversational help and, if necessary, assistance in resolving the situation. If necessary, the person asking for advice is directed to other services or to contact the authorities or University staff, if this is deemed necessary and the person so wishes.

All contacts are confidential, and their content is not collected by the Student Union or communicated to anyone without the consent of the person making contact.

The Harassment contact persons will help regardless of whether harassment has been experienced during the Student Union’s or associations’ activities or during teaching. Harassment or inappropriate behaviour can manifest itself as verbal or non-verbal insults, unwanted physical contact, threatening, unwanted contact, being left out of the community or otherwise as inappropriate complications in participating in it. The experience of harassment is subjective, so what is offensive and distressing and qualifies as harassment varies from one person to another, meaning that the most important thing is how the person making contact personally experiences the situation.

Don’t hesitate to make contact if you suspect that you have encountered harassment and need help.

5. Polyteekkari Museum’s guide recruitment evening on Monday 17 Sept at 5 pm
Are you all upset because you’re not a Polyteekkari Museum guide yet? Not to worry, do what Henri did and become a guide to regain those twinkly eyes. Come to the museum on Monday 17 Sept at 5 pm with a couple of hours spare and get to know the life and soul of a guide. All are welcome, regardless of study field or stage – we’ll be expecting you!

Project Coordinator for community and organisational structures Elina Nieminen has started work at the Aalto University Student Union’s Central office in the beginning of August, and her job is to conduct surveys, interviews and conversations to figure out how the structures of the Aalto community and the cooperation of the Student Union and the associations within it could be developed. The goal of the project is a more unified student community in which the students of the different schools will be taken into account as equals even better than before.

The project kicks off with a survey that will be sent out to all associations on Wednesday 19 Sept 2018. You will have two weeks to answer the survey, so it’s worth reserving time from a meeting or other get-together now to come up with your answers, as each association is meant to only answer the survey once.

1. Add your event onto the AYY website
How can I get more members or participants in my association’s events? The Aalto University Student Union website has an events calendar, in which all associations operating within AYY can advertise their events that are open to all. Now is a good time to add this autumn’s events on there and potentially find new people interested to join your activities. The events added on AYY’s calendar will also make it onto the events listing in the weekly newsletter, spreading the word to all AYY members.

How can I add my event? Each association operating within AYY has their own username and password for the AYY website. You can log in at /wp-login.php and restore a missing password at /wp-login.php?action=lostpassword. Events are added in the “Events” section in the left-hand sidebar. The website will be renewed around New Year’s, so you should only add events for this autumn.

3. Association training is reforming – Save the dates!
Association training is reforming! This year, the training in Finnish takes place over two days, on Tuesday 27 Nov and Wednesday 28 Nov. One of the days offers the basics of association activities for all newcomers, and the other day offers experienced members deeper training on current themes. An English-language training on the basics is organised on Thursday 29 Nov.

Save these dates in your calendar now! More information and registration details will follow in the association newsletter later in the autumn.

5. Come work at Lakinlaskijaiset!

You can choose your volunteer task from 9 different categories (ticket sales, security, logistics, etc.). 6. Nominate new honorary members for the Guild of the Round Table
The Guild of the Round Tower is an honorary and senior organisation operating in the vicinity of Aalto University. Persons who are in the final stages of their studies or have recently graduated and have shown continuous interest in the culture of engineering students (teekkarit) or other student activity with a similar mindset at Aalto University and have promoted its development in the Student Union or its associations may be nominated for the position of an honorary member. Nominations can be made until 11.59 pm on 21 Oct 2018 at https://lomake.ayy.fi/ptk/ehdota-uusia-arwoisia/ (form in Finnish).

Nominations can be made by an individual person, guild or association or by several people, guilds or associations collectively.

1. Association training is reforming – Save the dates!
Association training is reforming! This year, the training in Finnish takes place over two days, on Tuesday 27 Nov and Wednesday 28 Nov. One of the days offers the basics of association activities for all newcomers, and the other day offers experienced members deeper training on current themes. An English-language training on the basics is organised on Thursday 29 Nov.

Save these dates in your calendar now! More information and registration details will follow in the association newsletter later in the autumn.

2. Renovations of rental spaces are on schedule
The renovations of the residential buildings of Jämeräntaival 3, 5 and 7 in Otaniemi are progressing as planned and the project is already halfway through its schedule. The renovations are also affecting many rental spaces and associations’ club and storage spaces located on said premises.

The following rental spaces are currently under renovation: Gorsu, the Living room of the Teekkari Village, the Tatami hall and the Multi-facility hall. According to the tentative schedule, Gorsu, the Living room and the Tatami hall can once again be rented from 6 Jan 2019 onwards. In case one of the spaces is completed before this, we’ll open the reservation calendar earlier and announce the fact on the website and in the association newsletter. The completion time of the Multi-facility hall will become clearer at the end of 2018.

In December, the renovations will take over the Rooftop sauna, the Game room, the Sitsi kitchen and the Takka cabinet. The tenancy agreements of the associations’ club and storage spaces will be terminated at least three (3) months before the start of renovations.

The renovations are causing various challenges for both associations and events organisers, but as a reward for their patience, they have more functional and comfortable premises than ever to look forward to. 3. Last chance to register for setting up a checkpoint at Stadisuunnistus on 11 Sept
There’s life outside Otaniemi as well!

In order to offer the freshmen a chance to get to know The Eastern Harbour City (in some cultures also known as Helsinki), we organise an event called Stadisuunnistus on Tuesday 11 Sept. Stadisuunnistus is a checkpoint crawl in central Helsinki, and the event starts at 6 pm at the Senate Square. The checkpoints are open from 6 pm to 9.30 pm, and the afterparty starts at 9 pm at Nightclub Capital in the centre of Helsinki (Fredrikinkatu 51).

4. Nominate a candidate for Aalto Athlete 2018
Hello, Aalto people!

It’s now time to nominate a fellow student who you think deserves to be rewarded as the Aalto Athlete of 2018. The criteria for winning include sports achievements at national or international level, academic performance, and fair and honest participation in the community.

5. Nominate new honorary members for the Guild of the Round Table
The Guild of the Round Tower is an honorary and senior organisation operating in the vicinity of Aalto University. Persons who are in the final stages of their studies or have recently graduated and have shown continuous interest in the culture of engineering students (teekkarit) or other student activity with a similar mindset at Aalto University and have promoted its development in the Student Union or its associations may be nominated for the position of an honorary member. Nominations can be made until 11.59 pm on 21 Oct 2018 at https://lomake.ayy.fi/ptk/ehdota-uusia-arwoisia/ (form in Finnish).

Nominations can be made by an individual person, guild or association or by several people, guilds or associations collectively.

6. Tableware rental for associations within AYY
AYY promotes ecology, and one way to reduce unnecessary waste is to use less disposable tableware at events. In the Otaranta club room, there’s a set of dishes that can be used by anyone renting the space. The other rental spaces have less tableware, but there are rental opportunities that include e.g. delivery to site and returning the dishes unwashed. Jalostajat and Astiva have inexpensive offers for associations within AYY, the details of which are listed below:

Jalostajat:

The Otaniemi refinement club Jalostajat rents dinnerware for 220 people flexibly and inexpensively to groups operating in Otaniemi! Delivery within the Otaniemi area is free of charge, and its cost to external locations will be decided separately depending on the distance. Additionally, the price includes dishwashing, so the dishes can be returned unwashed! The tableware can be rented by email at astiasto(a)jalostajat.fi, and we’re also happy to answer any questions about the tableware.

Astiva:
– agreement is open-ended, excluding high school graduation week in the spring
– discount always at least 20%; the earlier you book, the more room we have -> the bigger the discount
– orders need to be made at least 2 weeks beforehand (depending on availability)
– specified quantities only need to be given (for weekend events) on the previous Monday
– delivery to the Otaniemi area free of charge Mon–Fri at 9 am–3 pm
– deliveries / pickups at Smökki don’t require anyone to be present, we have a key
– dishwashing is always included in the price, so dishes can be returned unwashed
– payment must be made within 7 days of pickup day, card payment also possible when necessary
– good offers are also available for private parties of AYY members

You’ll get the discount if you send your order directly to astiva(a)astiva.fi and mention that it’s for an association within AYY. On the website, you can get the discount by entering the code “AYY2018” when making the order.

1. Showcase your association at the Aalto Party!
The Aalto Party takes place on 5 September 2018 at Alvarin aukio, Otaniemi at 4–8 pm. We welcome all associations, sections, guilds, etc. with an Aalto background to introduce themselves at the Aalto Party.

Why?
Showcase your association and acquaint yourself with the Aalto community! Come up with some activities for the Aalto Party so you can tell people about yourselves, make new friends and liven up the Party!

The Aalto Party brings together students and staff to celebrate the beginning of the new academic year. The yearly number of visitors is around 3 500 and growing each year.

How?

All you need is to be an association within AYY and able to organise activities that the Party guests can participate in, and also able to keep things in hand in general!

We will support your programme with 70 €, as long as you register your association and activities in advance and are accepted as part of the Aalto Party.

2. Set up a checkpoint for Otasuunnistus on 4 and 6 Sept
Orientation week will be here soon and so will Otasuunnistus. I welcome your organisation to participate in Otasuunnistus on both Tuesday 4 September and Thursday 6 September. At your checkpoint, you can give the freshmen small tasks and reward them with points. The checkpoints are open from 5 pm to 10 pm, and the afterparty commences in Smökki at 9.30 pm. 4. Come and take part in creating a film festival!
As a part of AYYs the Year of Arts, we will experience Elossa festival. Elossa is a film festival curated by students and student groups, and we would like to see students from all of Aalto’s schools and student communities take part in planning the festival. The festival will be held between the 29th of October and the 3rd of November at Kino Tapiola and Kino Sheryl.

5. ECTS credits for student actives
Hello, active students!

Have you worked actively in the Aalto University Student Union (in a section, for example), in an association operating within AYY (as a board member or an officer), or in the University as a student representative in administration in 2017? You can gain study credits for it.

The course (3 credits) includes writing a reflection report on what you have learned in the task and participation in a peer learning seminar.

AYY has consistently emphasised the importance of organisational activity for the development of individual know-how, which is why we are happy that the Aalto University has decided to award study credits for students’ work in associations. 6. AYY’s space survey

1. What kind of spaces does your association need? Have an impact by taking the survey!
How satisfied are you with the facilities that AYY provides for associations? What new spaces and services would your association like to see? And what are your association’s hopes regarding the Student Center?

Take the survey for associations about AYY’s spaces by the 30th of June to get your voice heard! Answers to the survey will be used in the planning of the Student Center and other AYY’s upcoming facilities.

A free use of an AYY rentable space (excluding Servin mökki and Rantasauna) will be raffled among associations that have taken the survey during June. The prize is valid until the end of the year 2018.

 

2. Apply for support for your Otaniemi Night of Arts sub-event through AYY by the end of June
The Otaniemi Night of Arts will be held for the first time on Saturday, the 6th of October. It is a cross-artistic, free campus festival, where all willing associations within AYY can take part in making the creative program. There are already more than a dozen operators involved!

The easiest way to get financial support for your event is by submitting your application by the 30th of June through the form found at www.otanieminightofarts.fi. There is no upper limit to the sum of the financial support, and applications are handled on a case-by-case basis. Now is the perfect time to make your wildest event ideas a reality! In addition to financial support, AYY provides event organizers with the use of its own facilities and those of the event’s partners, free of charge.

Your event can be pretty much anything, as long as it is related to art in some way: an exhibition, a live music night, a dance workshop or even poetry karaoke. Only imagination and the laws of physics are the limit!

3. Present your association at Aalto Party!

4. AYY is looking for an event photographer
AYY is looking for a photographer for the day and evening events held during the autumn’s orientation week. The photographer is particularly needed on the 5th of September for the Aalto Day One event at the opening ceremony of the academic year, as well as for part of the evening at the Aalto Party/After Party.

In addition to this, the photographer may be asked to assist with photographing at two or three other events during the freshman week, such as the Otasuunnistus. The pay is negotiated together with the photographer.

Send an email to aino.korpinen(a)ayy.fi by the 12th of August and include a link to your portfolio or service where we can find your photos.

 

5. Share your ideas on AYY’s advocacy policies
The Aalto University Student Union is updating its policy papers this year. At the same time, the current policy papers will be combined into a single document. In what societal questions should Aalto people be especially active in?

6. AYY’s new logos now available
At the beginning of 2018, the Aalto University Student Union adopted a brand strategy for the first time. The idea of AYY as an enabler of the best student’s life in the world is at the core of this strategy.

With the brand work, AYY’s visual outlook and logos were renewed, and they are now available for associations at https://inside.ayy.fi/display/KUV/AYY+Logot. If your association’s materials contain AYY’s logo anywhere (on your website, in your magazine or in your freshman guide, for example), we ask you to update the logos to comply with the new look by the beginning of the next academic year. You can also find visual guidelines on the website linked above.
