1. File your missing association notices by Friday, the 29th of June, 12:00 noon
All associations within AYY must fill out a yearly association notice. Associations that have not yet filed an association notice for 2018 must do so before the 29th of June, 12:00 noon. It is no longer possible to apply for operating grants this year. If the association fails to fill an association notice in the allocated time for the second year in a row, the association can be removed from the Student Union’s list of associations.

Association notices are submitted through the TAHLO system, which can be found at http://tahlo.ayy.fi/. You can log in using your association’s username and password. If you have forgotten your username or password, you can recover it and have it sent to the association’s contact e-mail address at https://tahlo.ayy.fi/password_reset/.

Fill out the following Tahlo tabs carefully: General, Board, Facilities and Attachments. You can update the form up until it closes on the 29th of June at 12:00 noon, so you do not need to do everything at once. Remember to save your changes before exiting a tab!

When filling out the association notice, you will need:
*   Rules in effect
*   The annual report for 2017
*   The strategy for 2018
*   A list of the officers

Also remember to update your association profile on the AYY website. For more detailed instructions, see /en/blog/2018/02/28/submissions-for-association-notices-and-operating-grant-applications/. 2. What kind of spaces does your association need? Have an impact by taking the survey!
How satisfied are you with the facilities that AYY provides for associations? What new spaces and services would your association like to see? And what are your association’s hopes regarding the Student Center?

Take the survey for associations about AYY’s spaces by the 30th of June to get your voice heard! Answers to the survey will be used in the planning of the Student Center and other AYY’s upcoming facilities.

A free use of an AYY rentable space (excluding Servin mökki and Rantasauna) will be raffled among associations that have taken the survey during June. The prize is valid until the end of the year 2018.

 

3. Apply for support for your Otaniemi Night of Arts sub-event through AYY by the end of June
The Otaniemi Night of Arts will be held for the first time on Saturday, the 6th of October. It is a cross-artistic, free campus festival, where all willing associations within AYY can take part in making the creative program. There are already more than a dozen operators involved!

The easiest way to get financial support for your event is by submitting your application by the 30th of June through the form found at www.otanieminightofarts.fi. There is no upper limit to the sum of the financial support, and applications are handled on a case-by-case basis. Now is the perfect time to make your wildest event ideas a reality! In addition to financial support, AYY provides event organizers with the use of its own facilities and those of the event’s partners, free of charge.

Your event can be pretty much anything, as long as it is related to art in some way: an exhibition, a live music night, a dance workshop or even poetry karaoke. Only imagination and the laws of physics are the limit!

4. Service office’s summer opening hours
AYY’s service office in Otaniemi will be open at exceptional hours during the summer:

– The office is closed on Midsummer Eve (Fri 22nd June) and between 9th July and 27th July (key distribution service for one-time rental facilities on Mondays between 14:00 and 17:00).

– The housing services’ telephone service is closed between Mon 2nd July and Wed 1st August.

– Exceptional opening hours of the cashier service: weekdays from 1st to 8th June 12:00–14:00, from 2nd to 6th July 12:00–14:00.

5. Afterwork at Smökki and the Smökki Cup beach volleyball tournament on the 3rd of July

The residents of Otaniemi have transitioned to a summer mode, each in their own way. Some withdrawal symptoms of the spring’s event-mania can be observed. Hard-working or hardly-working friends are nowhere to be found. What to do?

The answer is obvious: let’s go to the wellbeing committee’s SmökkiAfterwork on 3rd of July! Gather all your friends regardless of their summer plans and come enjoy the sunny weather, a few drinks and the great company on this Tuesday evening. Pub Smökki has it all: world cup football, authentic PubQuiz and a lot more! Refreshments and snacks are available for a small cash fee.

6. AYY’s new logos now available
At the beginning of 2018, the Aalto University Student Union adopted a brand strategy for the first time. The idea of AYY as an enabler of the best student’s life in the world is at the core of this strategy.

With the brand work, AYY’s visual outlook and logos were renewed, and they are now available for associations at https://inside.ayy.fi/display/KUV/AYY+Logot. If your association’s materials contain AYY’s logo anywhere (on your website, in your magazine or in your freshman guide, for example), we ask you to update the logos to comply with the new look by the beginning of the next academic year. You can also find visual guidelines on the website linked above.

7. AYY is now GDPR-compatible
The EU General Data Protection Regulation came into effect on Friday, the 25th of May 2018. AYY has prepared for the regulation in many ways to keep the data of our members safe.

1. File your missing association notices by Friday, the 29th of June, 12:00 noon
All associations within AYY must fill out a yearly association notice. Associations that have not yet filed an association notice for 2018 must do so before the 29th of June, 12:00 noon. It is no longer possible to apply for operating grants this year. If the association fails to fill an association notice in the allocated time for the second year in a row, the association can be removed from the Student Union’s list of associations.

1. The opiskelijakeskus.fi website is now open

The opiskelijakeskus.fi website is now open! Check them out, browse the ideas and add your own. The Student Center is a joint venture by the Aalto University Student Union (AYY), the Aalto University Business Students (KY) and Teknologföreningen (TF). The plan is to create a building for all students on the Otaniemi campus, next to the metro station entrance and the Harald Herlin Learning Center.

A Student Center seminar was held in April 2018, , johon osallistui edustajia erityisasemayhdistysten puheenjohtajien neuvostosta, edustajistosta ja AYY:n jaostoista. The goal of the seminar was to brainstorm what kinds of facilities, functions and services the center could have.

The ideas gathered onto the opiskelijakeskus.fi website are results of the seminar. Anyone can browse the ideas, like them and add their own ideas. We will go through the most popular ideas on Friday, the 15th of June, with further planning in mind. So, visit the website and add your own top ideas. What would you want the Student center to have?

2. Operating grants 2018 and missing association notices
The operating grants for 2018 have been granted and the sums are available at /en/associations/services/operating-grants/operating-grants-2018/

Operating grants are paid when all the prerequisites have been fulfilled. The payment order regarding the grants has been sent to most associations this week. The payment will be visible on the account submitted to the TAHLO system by the end of June.

If an association has discrepancies or things missing from their profiles on the AYY website, they will be notified of this in early June. The profile must be completed before the grants are paid, according to the instructions submitted when the applications opened. Organizations that have been granted additional time for certain appendices will not be specifically reminded about submitting them. These organizations must submit the appendices in accordance with the instructions they have received when the additional time was granted in order to receive the grant.

Associations that have not yet filed an association notice for 2018 must do so between the 6th of June, 12:00 noon, and 20th of June, 12:00 noon, at https://tahlo.ayy.fi/. It is no longer possible to apply for operating grants this year. 3. Sub-event application period for the Otaniemi Night of Arts on the 6th of October is now open

5. Study credits for active students
Hello, active students!

Have you worked actively in the Aalto University Student Union (in a section, for example), in an association operating within AYY (as a board member or officer), or in the University as a student representative in administration in 2017? You can get study credits for it.

The course (3 credits) includes writing a reflection report regarding what you have learned in the task and participation in a peer learning seminar.

AYY has consistently emphasized the importance of organizational activity for the development of individual know-how, and that is why we are happy that the Aalto University has decided to award study credits for students’ work in associations. 1. Operating grants 2018 and missing association notices

The operating grants for 2018 have been granted and the sums are available at /en/associations/services/operating-grants/operating-grants-2018/

Operating grants are paid when all the prerequisites have been fulfilled. The payment order regarding the grants will be sent to most associations next week. The payment will be visible on the account submitted to the TAHLO system by the end of June.

 5. Checklist for the General Data Protection Regulation (GDPR)

The regulation came into effect on the 25th of May. Make sure that your association has done at least the following:

  • Privacy statements for your personal data registers.
  • The statements can be accessed directly from the form used for gathering the personal data.

6. Students at the Linnanmäki amusement park

Linnanmäki only for students? Check!

The Guild of Automation and Systems Technology celebrates its 20th anniversary with a bang: The Guild, together with its cooperation partners, offers students a unique chance to spend an evening at the Linnnanmäki amusement park. A private event with a limited number of tickets provides an unforgettable opportunity to enjoy Linnanmäki without waiting in line for hours!

Mark the 5th of October 2018 in your calendar, buy a ticket, take your best student buddies with you, and wait in eager anticipation for the most amusing day of the year, when the entire Linnanmäki amusement park is open just for students for one night.

The event is supported by the TTE Fund.

The advance booking rounds of facilities for the autumn are finished, and associations still have time until Sunday to enter their events into the yearly calendar. And the sub-event application period for the Otaniemi Night of Arts is open, check item 3 for more details.

1. Checklist for the General Data Protection Regulation (GDPR)
The regulation will come into effect today, on the 25th of May. Make sure that your association has done at least the following:

  • Privacy statements for your personal data registers.
  • The statements can be accessed directly from the form used for gathering the personal data.
  • The processors of the personal data are familiar with the proper way of processing the data (a data protection policy has been created and the processors have read it).
  • The registers have been saved securely.
  • Old, unnecessary information have been removed from the registers.
  • You are prepared to receive information requests from persons in the register – you know how the data should be sent to the persons.

2. Association events into the yearly calendar 2018-19 – last week to add your events
Only a few days left to add your events to AYY’s yearly calendar 2018-19. If you haven’t done it yet, add your association’s known events for the next academic year to this Excel Online document:

3. Sub-event application period for the Otaniemi Night of Arts on the 6th of October is now open
The Otaniemi Night of Arts will be held for the first time on Saturday, the 6th of October. It is a cross-artistic, free campus festival, where all willing associations within AYY can take part in making the creative program.

The Otaniemi Night of Arts consists of several sub-events organized by students, and the application period for the sub-events is now open. Your event can be pretty much anything, as long as it is related to art in some way: an exhibition, a live music night, a dance workshop or even poetry karaoke. Only imagination and the laws of physics are the limit!

AYY provides the use of facilities for event organizers for free. You can also receive financial support for your event through AYY and the TTE Fund.

4. Arabia’s service point was open for the last time on the 23rd of May

AYY’s service point in Arabia was open for the last time on Wednesday, the 23rd of May 2018.

With the move of the School of Arts, Design and Architecture, AYY’s services will also be centered around the Otaniemi campus, where the Service Office at Otakaari 11 will serve all AYY members.

1. Advance booking of AYY’s one-time rental facilities

The advance booking of AYY’s one-time rental facilities for other associations in the 1st register start on Friday, the 18th May 2018. Advance bookings are organized by using AYY’s own booking system TILA.

You can make advance bookings for the period Mon, 13th of August 2018–Sun, 6th of January 2019.

The schedule for facility reservations in the system is as follows:

  1. AYY’s internal operators, reservation period 19th April-4th May 2018.
    The reservation period ends on 4th May 2018 at 12:00 noon.
  2. Special status associations 4th May-17th May 2018.
    The reservation period starts on Fri, 4th May at 14:00 and ends on Thu, 17th May at 12:00 noon. The booking session will be held in Otaniemi on Thu, 17th May 2018 from 16:30 onwards at the Undergraduate Center, (Otakaari 1) hall M1 (M232).
  3. Other associations in the 1st register 18th May-24th May 2018.
    The reservation period starts on Fri, 18th May at 12:00 noon and ends on Thu, 24th May 2018 at 12:00 noon. The booking session will be held in Otaniemi on Thu, 24th May 2018 from 16:30 onwards at the Undergraduate Center, (Otakaari 1) hall M1 (M232).
