  1. Survey on training wishes for the associations

AYY is again organising association training on 8.12. at Design Factory and planning of the training is now beginning. An English session will be arranged separately according to demand. Now we’re hoping that as many associations as possible will reply to the survey regarding the training, which we’ll use to plan the association training of December and possible separate training sessions. There is time to reply to the survey until 2.10. and there’ll be a prize draw for the respondents for a free booking of the premises at either the Otaniemi Tietosauna or the Vaasankatu sauna and cabinet, to be used by 31.5.2017. Note that reservations after Jan 1st 2017 can be made after advance bookings, but you can also use the free reservation in the advance bookin period. More information about advance booking later on.

  1. The equality survey of AYY and Aalto University

Have you experienced inappropriate behaviour at student dos? Have you noticed discrimination in teaching situations? In the student associations, does everyone have the same rights? AYY and Aalto University are trying to find answers to these questions and others with an equality survey, the results of which will be utilised in coming projects to further equality.

As a prize, after responding one 100-euro gift card for the Stockmann department store will be drawn amongst those who have submitted their contact details, as well as a number of smaller prizes. The contact details are stored separately and cannot be connected to the replies to the equality survey.

You can get to the survey form from the link below:

Association newsletter for the week 35/2016

This is AYY’s association newsletter for the week 35/2016.

Now there is a great opportunity to earn some money for your association! Get a group together or join forces with other associations at the Sillis for the Traditional Teekkari Dinner Party. The fee is EUR 800. Read more in section 2.

We have received feedback about the noise caused by the use of Gorsu from the residents at Jämeräntaival 5 and its surroundings. It is important to be considerate when using the facilities, so please remember to abide with the usage rules. Please remind your friends to remember the nearby residents in addition to having fun. If disturbances still continue, AYY will change the time of use for the facilities to end at 23:00 instead of the current 03:00. Read more in section 1.

1. To be noted in using Gorsu

After the summer, AYY has received feedback about the noise problem that the use of Gorsu has caused for residents of JMT 5. The walls and roof of the facilities do not block all the noise coming from the facilities, which significantly influences the comfort of living of the residents nearby.

For this reason, AYY reminds all the users of these facilities about the general usage rules for the facilities, in particular section stating that “Facilities are used in accordance with the law, regulations and good manners”. In addition, the facilities are in use until 03:00, but since the premises are in connection with a residential property, special attention must be paid to Section 4 in the Rules and Regulations of the Teekkari Village: “On weekdays between 11pm–7am and on weekends and public holidays between 12midnight–9am, singing, playing, loud use of a television, radio or stereo equipment and such other noise is prohibited, excluding a correctly performed teekkari hymn.”

Those who do not abide with these rules will be penalised according to the sanctions listed in the Usage rules for the Student Union’s rental facilities.

If disturbances continue, AYY will change the time of use for the facilities to end at 23:00.

3. Join the Aalto Afterparty on September 6!

Would your association like to be part of the year’s first, biggest and most amazing event? Join the Aalto Afterparty!

The traditional Aalto Afterparty will be held on the Tuesday of orientation week, and as usual, we’ll have brilliant performers, fabulous surroundings and a great vibe! Many associations are probably already involved in other events during orientation week, such as the Aalto Party or Otasuunnistus, but at these events, students may easily get confused with so much on offer. The Aalto Afterparty would give you a chance to stand out from the crowd and make a memorable impression of your association! To participate, all you need is an inspiring, spirited activity that reflects your association, plus the people and equipment needed for organizing it.

You can inform us of your willingness to participate by sending e-mail to afterparty ät list.ayy.fi by Sunday, August 28.

We welcome you to make the Aalto Afterparty even faster and more stunning. 😉

  1. Registered associations’ notices of change for the Patent and Registration Office (PRH) and changes in the Associations Act on July 1, 2016

The Associations Act was changed on July 1, 2016 to allow the Patent and Registration Office (PRH) to purge defunct associations from its register. This removal process involves about 40,000 registered associations that have not filed a report with the associations register after 1995 and whose operation is not expected to continue. An association may avoid the removal process if it files a notice of its continuing operation to PRH by January 12, 2017.

The dates of the latest reports filed to PRH by associations in AYY’s associations register were checked from PRH’s public associations database in June.  Associations in AYY’s register that had filed their last report before 1996 have been contacted separately. However, if you know that your association has not filed a report with PRH about the latest changes in rules or signatory rights, you should take care of this as soon as possible. If you are unsure of the date of the latest report, you can check it from PRH’s database at http://yhdistysrekisteri.prh.fi/etusivu.htx. In accordance with the Associations Act, registered associations have a responsibility to file a notice with PRH about changes in rules and signatory rights. Rule changes will become effective when they are entered into the register.

Content of the newsletter

  1. Main administrator notifications for Otax must be made by 29 Mar
  2. Submissions for association notices and operating grant applications end 23:59 March 31
  3. Update and maintenance break on the Otax server on April 4

  1. Main administrator notifications for Otax must be made by 29 Mar

This concerns associations which have websites or usernames for AYY’s web hotel service Otax.

Main administrator notifications for Otax must be made by 29 March. For those accounts which do not provide the notification, the username will be locked on 1 Apr and the site will be closed.

At the same time, the notifier needs to check running applications, users with access to the username, etc. Detailed instructions can be found in the notification form. Please reserve enough time for filling in the notification and for checking the site.

You can fill in the notification at https://lomake.ayy.fi/it/otax-admin-report/?lang=en

Further information on Otax services is available at /en/associations/services/it-services/website-services-on-otax/

AYY: IT services can be reached at tietotekniikka@ayy.fi.

  1. Submissions for association notices and operating grant applications start on midnight March 1st, end 23:59 March 31st

All associations within AYY must fill out a yearly association notice. Failing to fill out the notice two consecutive years might lead to removal from the AYY association register. Only associations belonging to the first list of AYY’s association register can apply for operating grants. If you do not know which list your association belongs to, please contact the organisational affairs specialist (jarjestoasiat at ayy.fi).

NB! In 2015 the operating grants were still distributed to associations in the first list, whose rules state that transferral of the funds will be decided on at the dissolution meeting. Due to this, the board of AYY stated that if these associations have not changed their rules or started the rule-changing process before the end date for the association notice and the operating grant applications for 2016, they will not be receiving the operating grant for the year 2016 and they will be removed from the first list of the register. The associations that this concerns have been contacted in the late spring of 2015.

The operating grant applications and association notices will be handled as fast as possible during April. Any possible delays will be informed of separately.

More information about the operating grants can be found on /en/associations/services/operating-grants/, where you can also find the scoring model that is used for distributing the grants and the amount of grants distributed in the past years. In any unclear matters please contact the organisational sector (jarjestoasiat at ayy.fi). You can also contact the organisational affairs specialist by phone at 050 520 9442, available mostly Monday to Friday between 10-14.

NB! For any projects outside the regular operations and for any new mind-blowing ideas, funding can be applied through TTER: http://tter.ayy.fi/hae-avustusta/briefly-in-english/.

Using the association database TAHLO

The association notice is filled out and the operating grants are applied for by using the TAHLO database (Operating grant application). The system can be found at http://tahlo.ayy.fi/.

You can log in by using the association’s user name and password. These are the same as during the last round of operating grant applications. If you have forgotten the username or have any problems logging in, please contact the organisational sector (jarjestoasiat at ayy.fi). If an association does not already have a username and password, these can be created during the first log in. Every association creates the username and password by themselves, unless they have been entered in the system in advance. When you are creating a new username, it is preferred to use the official abbreviation of the association or the name in use. The password needs to be at least 8 characters and needs to include special characters and numbers. Store the password somewhere safe: you will need it again next year.

Take care when filling out the information. The basic information from last year is copied automatically, so you do not need to fill out every box. You can update the form until it closes at 23.59 on March 31st, so you do not need to do everything at once. Remember to save your changes! Please also note, that the form has some fields that the association cannot fill in by themselves (for example the class within the Register of Associations that the association belongs to). These fields will be filled in by the organisational sector.

If you have any problems with the system, spot any spelling mistakes or anything else weird, please notify jarjestoasiat at ayy.fi. We try to be awake if for example the system goes down, but letting us know of any problems will help us react even faster.

If you are only filling out the association notice without applying for the operating grant, you will need:

* Rules in effect
* The annual report for 2015
* The strategy for 2016
* A list of the officers

Fill out the following tabs: Basic Information (also The Association Board at the bottom of the page), the Offices and Attachments. You do not need to care about the Operating Grant tab.

If you are also applying for the operating grant, you will need:

 * Rules in effect
* The annual report for 2015
* The financial statement, balance sheet, and profit and loss statement for 2015
* The strategy for 2016
* The budget for 2016
* A list of the officers

If you are going to be late with any of the documents, for example due to the date of the annual meeting, let the organisational specialist know in advance! Extensions can be granted for good reasons, however missing documents will count negatively towards the awarded grant.

Take good care when filling out the tabs, especially the Operating Grant Application. The operating grants will be distributed according to the scoring model: /wp-content/uploads/Pisteytysmalli_ENG.pdf. Make sure to answer all the questions carefully; the points will be distributed according to your answers.

A prerequisite for the operating grant is an association profile on the AYY website. The profile needs to exist in at least one of the official languages (Finnish or Swedish) and English. The main thing is that all association profiles can be found on all three language profiles. You do not need to translate the profiles into all three languages; two out of three is sufficient. For example, the profile can be found in Finnish on the Finnish site (ayy.fi) and in English on the English and Swedish sites. You can add the translations on the editing page: under the Language bar on the right hand side you will find Translations or Translate this Document.

Every association is responsible for updating their profile and translating them. If no one in your association knows either one of the official languages (Finnish or Swedish), please contact the organisation specialist.

You can edit the profile by logging in at /wp-admin/. The username is the abbreviation the association uses of itself. If you have forgotten the password, you can reset it on the log in page. The usernames are most often connected to the e-mail address of the board of the association, so you should get a confirmation e-mail there. If you have any problems, please contact the organisational sector (jarjestoasiat at ayy.fi).

  1. Update and maintenance break on the Otax server on April 4

The student union’s Otax server will be updated on Monday, April 4, starting at 6 PM. During the update, web sites on the server will be unavailable and there will be no remote access to the server. The update should be done and services available again as soon as possible, by Tuesday morning at the latest. The server will also be moved to a virtual environment, which will make future updates easier.

All current user accounts and their files, databases and web sites will be copied to the new server as is. If you suspect that some system at your site will not work because of things such as new software versions, please get in touch at least one week in advance; if necessary, your association’s site can be left on the old server for a while, or applications can be tested in the new system in advance. The transfer of the most common content management systems and wikis (WordPress, Drupal, Joomla, MediaWiki etc.) should not pose problems.

The most significant changes for users:
– PHP 5.3 -> 5.6
– MySQL 5.1 -> MariaDB 10.0
– Python 2.6 -> 3.4

In addition, there are plans to start another web hotel server that would offer a wider selection of platforms for associations (e.g. Ruby, Rails, Node.js) and enable the execution of different versions on them.

Additional information about the update will be sent to the Otax administrators’ mailing list; remember to fill in the admin reports and to join the list at the same time. Questions can be sent to tietotekniikka@ayy.fi.

  1. Have your association join WappuAalto on April 20

Wappu is coming (it’s finally official), and it’s not too far! Following traditions, Aalto’s Wappu will be launched by WappuAalto, a Wappu carnival for all of Aalto. This year, the Akateeminen Wartti race will also take place alongside it!

This year, WappuAalto will be held on Wednesday, April 20 at Alvarin aukio starting at around 3 PM, and we would now like to ask you, the wonderful associations of AYY, to help with the implementation! We bid you welcome to be there and organize some program in your own image for the party people in true Aalto Party spirit! You won’t get a better opportunity this academic year to introduce your own activities to everyone at Aalto and get in the mood for Wappu. 😉

You can sign up by e-mail at sirius.vuorikoski@ayy.fi, or through the form at https://lomake.ayy.fi/aava/wappuaalto-2016/. More specific questions may be sent to the aforementioned address.

  1. Overall badges on sale for the Wappu badge sale!

Would your association be interested in getting badges to offer on the Wappu period badge sales on Wednesday 20.4. and Monday 25.4.? Give us your details and we’ll sell the badges for you! The registration form will be available on 28.3. at http://lomake.ayy.fi/teekkarijaosto/merkkimyynti-2016/  and will be taken down on 17.4.

Teekkarijaosto (Teekkari Section) will take care of the sale of the badges and deposit a sum that corresponds to the badges sold onto your account, as well as returning any unsold badges. In order to cover any possible spoilage, Teekkarijaosto will take a 5 percent commission from the sales takings. Badges to be sold should be delivered to Teekkarijaosto before the badge sale; the time and place will be given to those who want their badges to be included.

If you have any questions, contact the Teekkari Culture Directors: Jan Juvonen and Miia Mäkinen (etunimi.sukunimi@ayy.fi)

  1. Come and be a checkpoint keeper at Hullu Jussi!

Wappu is coming again and, with it, the traditional Hullu Jussi awaited by the Wappu people is approaching!

In the event in question, teams of 4-10 people go around Otaniemi carrying out particular checkpoint tasks in competing for the title of Hulluin Joukkue™ (’the Craziest Team’). Now your association (or group of friends) has the opportunity to get to follow the event from a grandstand seat in the form of a checkpoint!

Registration of checkpoint keepers opens on 1.4. at: http://lomake.ayy.fi/teekkarijaosto/hullu-jussi-2016-rastit/ and ends on 20.4. If your association does not have club premises and you want to have the checkpoint indoors, register as soon as possible and contact the organisers.

As a bonus, for the association that holds the best checkpoint we’re offering a gorgeous (and delicious) Wappu basket and also a one-off use of a single-rental sauna premises during the end part of the year. For the checkpoint keeper group that registers the quickest, four places have also been reserved for bus transportation to Ullanlinnanmäki on 1.5.!

TL;DR:

WHAT: Checkpoint for Hullu Jussi!
WHERE: Around Otaniemi
WHEN: 29.4.2016 approx. 10 p.m. – 1 a.m., after the Fuksispeksit and Yöjäynä starting bang
REGISTRATION OPEN: 1.-20.4. http://lomake.ayy.fi/teekkarijaosto/hullu-jussi-2016-rastit/

You can ask for further information from the Teekkari Culture Directors: Jan Juvonen and Miia Mäkinen

The second application round of TTE-Fund in 2016 is open! The fund may grant financial aid for all AYY members and the association within it. TTE-Fund supports visible activities that reach for the stars and make other people excited!

You can apply for grants from TTE-Fund in two ways: through the application rounds arranged approximately three times a year and through the continuous application period which is open during the academic terms. During the continuous application period, you can apply for the grants with the maximum of 2000€, whereas the amount of project grants during the actual application rounds is not limited.

The second application round of 2016 will end on Sunday, 20 March 2016, at 11:59 pm. Instructions for the application and its attachments are available on the website of the fund at http://tter.ayy.fi/. The grant can be applied for with an online form which is available at: https://lomake.ayy.fi/tter/hakulomake/.

Deadlines for the application rounds of spring 2016 and other additional information is available on TTE-Fund’s website at http://tter.ayy.fi/. Also check out the facebook site at http://facebook.com/tterahasto.

* Rules in effect
* The annual report for 2015
* The strategy for 2016
* A list of the officers

Fill out the following tabs: Basic Information (also The Association Board at the bottom of the page), the Offices and Attachments. You do not need to care about the Operating Grant tab.

If you are also applying for the operating grant, you will need:

 * Rules in effect
* The annual report for 2015

* A list of the officers

If you are going to be late with any of the documents, for example due to the date of the annual meeting, let the organisational specialist know in advance! Extensions can be granted for good reasons, however missing documents will count negatively towards the awarded grant.
