1. AYY’s organisation sector in 2017

In 2017 the member of the Board responsible of organisational affairs is Ville Myllylä. In addition to organisational affairs, Myllylä’s areas of responsibility as a Board member are facilities and the Council. Ahto Harmo continues as the specialist on communications and organisational affairs.   1. AYY’s lost property practices have changed

Up till now, it has been possible to bring objects from clothes and bags to items of value to AYY, found in the one-off rental premises of AYY or the campus area. Due to a lack of resources, the lost property service has discontinued at the end of 2016 and lost items will not be accepted at the office of AYY.

This means that passing on clothes or bags found in the premises of AYY or the campus to lost property offices or their owners is at the responsibility of the event organisers. It will only be possible to bring phones, wallets, keys and spectacles to the service point of AYY. Travel cards found are to be returned to the service points of HSL or given to bus drivers, who will pass them on to HSL.

 

  1. AYY’s association training in English on January 16th

AYY’s association training in English will be held on 16th of January from 4 pm to 7 pm at AYY’s office (Otakaari 11, Espoo (upstairs)).

The training will include communications and the basics for association work, but you can also wish for specific topics.

The target group is English speaking association actives and the space is limited (approx. 20 persons), so please attend only if you are in the target group. Max. 4 persons per association. If there are more than four persons in your association’s actives that are in the target group and they wish to participate, please contact the organizational affairs specialist Ahto Harmo (ahto.harmo@ayy.fi).

  1. The first application round of TTE-Fund in 2017 is open!

The first application round of TTE-Fund in 2017 is open! The fund may grant financial aid for all AYY members and the associations within it. TTE-Fund supports visible activities that reach for the stars and make other people excited.

You can apply for grants from TTE-Fund in two ways: through the application rounds arranged approximately three times a year and through the continuous application period which is open during the academic terms. During the continuous application period, you can apply for the grants with the maximum of 2000€, whereas the amount of project grants during the actual application rounds is not limited.

The first application round of 2017 will end on Sunday, 22 January 2017, at 11.59pm. Instructions for the application and its attachments are available on the website of the fund at http://tter.ayy.fi/. The grant can be applied for with an online form which is available at: https://lomake.ayy.fi/tter/hakulomake/

  1. Pick up you association mail from AYY’s letterboxes

AYY’s association letterboxes are overflowing. Please come and pick up your association mail in order to make space for new mail!

 

6. Presentations from AYY’s association training online

Most of the presentations from the Finnish association training can now be found on AYY’s website at /yhdistykset/palvelut/koulutus-ja-kurssit/yhdistyskoulutus/.

Some of the presentations are still missing, but all of them will be uploaded on the website as soon as possible.

7. Join Laskiaisrieha with your association on February 28th

Laskiaisrieha 2017 will be organised, by tradition, on Feb 28th, 2017 in Kaivopuisto park, Helsinki. Things are about to get wild with music, competitions, and of course the legendary Academic downhill race! More information about the event on Facebook and at http://laskiaisrieha.fi!  Vapaateekkarit welcome all associations to bring their own tent, party gear, grill, and other crazy things to Ullanlinnanmäki and spread winter joy to the whole crowd! Please notify us about your association’s arrival by sending an email to info@laskiaisrieha.fi at least one week before the event so we can prepare for your arrival.

NB! It is NOT allowed to bring vehicles/trailers, etc. with wheels on the lawn at Ullanlinnanmäki, nor is it allowed to attach structures or for example tent pegs into the lawn.

AYY is acting as a provider of .fi domain names for the associations in the association register of the Student Union from 5.9.

From 5.9.2016, .fi domain names and the services associated with them can only be obtained through domain name providers. AYY is acting from the date in question as a domain name provider for registered associations in AYY’s association register.

After this, associations can carry out the following services through AYY:
– registration of a .fi domain name for the use of the association
– renewing the validity of the domain name of the association
– transferring the domain name of the association to another user
– changing the provider of the association’s domain name
– cancelling the domain name of the association

If your association already has a .fi domain name, you will already have received mail about the reform from the Finnish Communications Regulatory Authority. From 5.9. onwards, you will need a domain name provider in order to be able to update the details of the domain name or to renew its period of validity.
In that case, it is advisable to connect the address to the administration of the provider well before September. You can connect the domain name to the administration of AYY by supplying the details of the domain name and the authorisation key to AYY at https://lomake.ayy.fi/it/siirto/?lang=en. You can get further information at tietotekniikka@ayy.fi

More detailed information about applying for a new domain name will be sent before September.

Information about problems concerning AYY’s mailing lists

List.ayy.fi server that administers AYY’s mailing lists failed to operate on 20 May and has been restored after that from very old backup copies from August and December 2012. The service is scheduled to reopen between 27-28 May.

Effects:

  • Recipient lists, passwords and administrators of the lists are according to information from 1 Aug 2012. List administrators will have to update this information. In case of forgotten passwords, you can get help from AYY’s IT sector as usual at tietotekniikka@ayy.fi.
  • Due to old recipient information, all lists have emergency moderation set on. Because of this, all messages must be separately released from the administrative interface of the lists. When the list recipients have been updated, emergency moderation can be removed from the administrative interface at https://list.ayy.fi/mailman/admin/<listanimi>, at General Options -> Additional Settings -> Emergency moderation of all list traffic.
  • Lists that were added during the lost period will have to be recreated. Lists requested via e-mail at tietotekniikka@ayy.fi will be recreated during Monday.
  • Mailing list archives were lost from the period between 1 Dec 2012–20 May 2013. If you need the archives, it is now advisable to ask the list recipients if someone has saved them.

A broader description of the incident:

List.ayy.fi is a blade server with two mirrored 300 GB disks. Backup copying of the server has been reduced due to the problems encountered and because of its long duration. The problems result from the large mailing list archives of list.ayy.fi, poor backup tape library and average backup software.

The other disk of the disk mirror of list.ayy.fi failed to operate on Thursday, 16 May 2013. The replacement disk was received on Monday, 20 May 2013. Before the exchange of the disk, the intention was to take ”the last backup” to another server. However, this was not done due to time pressure, as we relied on the fact that normally these replacements of broken disks run smoothly.

This time, the exchange of the disk led to the erasing of the intact disk and there were no other options than recovery from backups.

The latest functioning backup was from December 2012. In addition to the backup, disks were sent to Ibas for examination. However, Ibas was not able to restore the files and we will have to make do with the old backups.

Our company apologises for the inconvenience caused and the resulting downtime of list services, as well as the data loss of list archives from the period of six months.

In order to prevent a similar problem in the future, we have decided to renew the backup system completely without leaving any old components left.

Problems with AYY’s email lists

AYY’s list server is not working and the email lists (with domain @list.ayy.fi) are not working at the moment.

We’ll get more information about the situation on Thursday.

Meanwhile, sent messages will be saved in a queue and messages will be sended to lists after the system has been restored. New information about the situation will be updated in ayy.fi.

The problem concerns mainly @list.ayy.fi domains. Addresses wit the ending @ayy.fi work normally.
