1. AYY’s training for associations in February

AYY’s training for associations will be organised on Monday, 21 Feb, in Otaniemi and Tuesday, 22 Feb, in Töölö from 4pm onwards. The association training provides the associations with important and current information as well as generally useful information on the running of an association. The training includes information on the application of the operational grant and other grants, legal issues related to associations, internationality and AYY’s services for the associations.

Further information on the training and more detailed information on its contents will be added later to AYY.fi and the association newsletters.

2. Amendment notices to the National Board of Patents and Registration of Finland

The turn of the year is a period of changes for many associations and organisations. It is  good to remember that the National Board of Patents and Registration of Finland (PRH) is also interested in certain official changes taking place in your organisation. An amendment notice has to be filed to the association register of PRH when:

  1. the rules of the registered association change
  2. the person authorised to sign for the association changes (when the chairperson changes)
  3. the address of the association changes
  4. the rules of the association are amended

The association members can make a proposal for the board to change the association rules or the board itself can detect the need for change.

The amendment notice can be submitted as an electronic notice or, alternatively, you can download the notification forms to your own computer to be filled. Further information and forms are available on PRH website at http://www.prh.fi/fi/yhdistysrekisteri/yhdistys_muutosten_rekisteroiminen.html.

3. Rental of AYY’s van

Many of you have been asking more specific information on the rental of AYY’s van, so here is some additional information. The employees of Otaniemi service point, especially Tuula Ilmes, can provide more  information on the van rental. You can check the booking situation from the booking excel at AYY.fi but the excel is updated with delay. For the most reliable information, please call directly to Otaniemi service point number  050 520 9400.

4. AYY’s website and the association profile

AYY opened its new website at the beginning of 2011. Just like on the old website, we have reserved space for the associations under AYY to create their own profiles on the new website. Also, the purpose is that each association will announce their own events through the event calendar on AYY.fi. When allocating the operational grants this year, it is AYY’s condition that the association profile has been added to AYY.fi.

The new website of the Student Union is scheduled to open before the end of the year. Has your association checked that your user name issues are in order?

We have built up AYY’s new website throughout the summer and the autumn, and now we are approaching the finish line. The new website is scheduled to open before the end of the year.

AYY’s sub-associations should create a profile of themselves for the new website, so that as many Aalto students as possible would have the opportunity to conveniently get to know all the associations operating within the Student Union.

The Student Union’s web developer has created user names for most of you and you have received them by e-mail. However, if your association has not received the user names yet, you can contact Specialist Joonas Jylhä (firstname.lastname@ayy.fi).

When allocating the operational grants of the Student Union, we pay attention to whether your association has a profile in ayy.fi or not. The instructions for the associations concerning the new ayy.fi are available at: /wp-content/uploads/2010/10/ohjeistus_yhdistystoimi… (in Finnish)

1. THE MODEL RULES OF THE STUDENT UNION ARE COMPLETED

When an association or a club registers itself through the National Board of Patents and Registration of Finland it has to make official rules for itself. The Student Union has completed the so-called model rules which help the work of those clubs and associations which are planning to become registered associations. The existing register associations should occasionally remember to read their own rules and make updates if necessary.

2. SAARA HYRKKÖ TO FORM THE AYY BOARD FOR THE YEAR OF 2011

In the meeting on 10 November, AYY’s Representative Council appointed the 23-year-old student of Bioinformation Technology Saara Hyrkkö as the former of the AYY Board 2011. Saara has operated in the AYY Board 2010 where she was responsible for the Aalto Community as well as cultural and organisational affairs. Hyrkkö has previously been the Freshman Captain of TKK’s Electrical Engineer Guild and the Director of teekkari culture in the Student Union of the University of Technology.

The Student Union is looking for several candidates for the board and other positions, so now is the time for you active members in associations to consider if you have the enthusiasm to join the activities. 3. LOOKING FOR WAITERS FOR DOMINANTE’S ANNIVERSARY

Dominante Choir will celebrate its anniversary at Smökki on Saturday, 20 Nov, and it is looking for a group of approx. 10-15 people to cater for the party between 7pm and 12midnight. The job does not include carrying equipment before and after the party. You will be rewarded with a free performance of Dominante quartet in your own event (value of approx. 400 euro).

4. LOOKING FOR BOARD MEMBERS FOR THE PROMOTION FUND OF TEEKKARI ACTIVITIES

The promotion fund of teekkari activities (Teekkaritoiminnan edistämisrahasto) operates within AYY and its finances. The purpose of the fund is to grant scholarships and support the efforts of AYY, its members and the communities within it, awaken and maintain interest in technical, scientific, economic and societal issues and cultural activities.

In accordance with the section concerning resignations, the Board of the Fund will have two seats  opening up at the end of the year, and we are now looking for smart and versatile candidates. Detailed application instructions are available at  http://www.ayy.fi/node/1201

5. AYY GETS CLOSE THIS WEEK

Just like in the spring, AYY gets closer to its members this week when it organises ”AYY Gets Close” events on all three campuses. AYY will be in Arabianranta on Monday, 15 Nov, in Otaniemi on  Tuesday, 16 Nov, and in Töölö on Thursday, 18 Nov. The event is organised on all campuses between 11am-2pm and coffee will be served. Active members in associations are very welcome to greet the Student Union, drink a cup of coffee and discuss current issues.

6. ART GOES AALTO WEEK ONGOING ON ALL CAMPUSES

The aim of the Art Goes Aalto project is to familiarise the Aalto community with cultural affairs within the school and the surrounding region. This year, Art Goes Aalto project takes place in the form of the workshop week which will be held on 15-19 Nov 2010.

During the workshop week, students are led by the fellow students to explore the various forms of arts and high culture in which the students of our university engage. This is organised through the theme days and each workshop is organised according to the theme. The topics of this year include wine and food, drama and dance as well as film and painting, among other things. The workshops are open to all members of the Aalto community.

1. AYY’S NEW WEBSITE

We have constructed AYY’s new website throughout the summer and the autumn and now we are almost finished. We are intending to open the new website at the turn of November and December.

The Student Union recommends and wishes that as many associations as possible create a profile on the new website. The Finnish instructions for the association members are available at /wp-content/uploads/2010/10/ohjeistus_yhdistystoimija_v9.pdf

2. LOOKING FOR NEW MEMBERS FOR THE FINANCIAL COMMITTEE

The Aalto University Student Union (AYY) owns and manages substantial assets which consist of real estate and investment property. The Financial Committee is responsible for managing the property of the Student Union and preparing and implementing the issues provided in the working order and the regulations concerning the management of the finances of the Student Union. The Financial Committee has 8-10 members, including the chairperson. Every year, half of the members are in turn to resign.

Send an open application to the Financial Committee at teemu.halme@ayy.fi with the subject “Taloustoimikunta” by 4pm on 29 November 2010 and tell us why you should be elected to the Financial Committee. Please attach your CV.

3. LOST PROPERTY OF THE GUILD OF CIVIL ENGINEERS

On Wednesday, 20 October, the Guild of Civil Engineers (IK) lost a black rubbish bag which was stored at the beach sauna. The bag included lost property and towels. The rubbish bag was first taken to AYY’s service point in Otaniemi from where someone collected it.

IK would like to know where the lost property is. If you know something about this, please contact IK’s Chairperson Emmi Mattila, firstname.lastname@tkk.fi, tel. 044 532 8187.

4. DOES YOUR ASSOCIATION HAVE TENTS TO LEND?

The Architect Guild (AK) would like to borrow tents/canopies (size: 3m x 3m) for early December.  The colour of the tents does not matter and the guild would like to borrow as many tents as possible.

1. WHAT IS THE ASSOCIATION NEWSLETTER?

The association newsletter is AYY’s new fortnightly newsletter published on Mondays and it is sent by email to the email list of AYY associations. The objective of the newsletter is to reach as many AYY associations as possible and tell about issues which concern the associations.
If you want to include events or any other matters in the newsletter, please get in touch with Joonas Jylhä, AYY’s specialist in charge of associations and communications (joonas.jylha@ayy.fi, 050 520 9442) who compiles the newsletter every two weeks. We also wish to receive feedback about the newsletter to the same address.

2. AMENDMENTS TO THE FINNISH ASSOCIATION ACT

The amendments to the Finnish Associations Act came into effect in early September. The Associations Act was reformed to better respond to the current needs of associations and organisational activities. The amended act increases the influence opportunities of members by allowing the possibility of distance participation in certain meetings. Current auditing by lay auditors is replaced by an inspection of operations.
The Student Union recommends that the associations briefly go through the amendments to the Associations Act on the website of the National Board of Patents and Registration of Finland at http://www.prh.fi/fi/yhdistysrekisteri/yhdistyslaki/lakimuutokset_20100901.html

3. THE APPLICATION ROUND OF THE TTE FUND IS ONGOING, DEADLINE 15 OCT

Each association should pay attention now: the TTE Fund, owned by the Student Union, allocates funds again. The purpose of the fund is to support the efforts of the student union, its members and the associations operating within the Student Union by allocating funds. The fund allocates funding based on the applications, the deadline for the applications is Friday, 15 October.

4. EVENTS TO THE AYY NEWSLETTER

Every Monday, AYY sends out the newsletter to all members who have subscribed to it (subscribe at http://list.ayy.fi/mailman/listinfo/ayy-info-fi). The newsletter reaches a large number of the student union members.

The associations can use their own user names to add their events in three languages to the event calendar on AYY’s website. Events from the event calendar are also selected for the newsletter. Therefore, you can include your information both in the event calendar and the newsletter at the same time. It is no longer necessary to separately send a message to the Student Union’s Communications Officer once the message is added to AYY.fi.
