1. ATTENTION! Thieves on campus
The spring has brought thieves onto campus as well, and last week was an unfortunately busy one in terms of theft. AYY and the University advise everyone to take general caution on campus and ask you to take particularly good care of your own and your friends’ possessions.

In case of a possible theft, report the incident to the police. Thieves generally visit multiple places around the campus, so it would be important to report any thefts also to the University’s Head of Security for her to be aware of the situation as a whole. The Head of Security Seija Piiponniemi-Lahti can be reached by email at seija.piiponniemi-lahti@aalto.fi or by phone at +358 500 813 084.

Let’s take care of each other and our belongings. If you suspect that thieves have visited your association’s event, please contact the bodies mentioned above.

 

2. Associations’ afterwork on Wed 8 May
As it is almost summer, it is time to gather the Board members, officials and active members of associations operating within AYY for an afterwork in Fat Lizard in Otaniemi to have a laid-back chat about how everyone is doing. We can discuss the current topics that your association is wondering about and meet other associations’ operators at the same time. Essi and Anna from AYY’s Organisation Sector will also be present to answer your questions.

3. Advance booking of rentable facilities starts on Monday 6 May for special status associations
The advance booking of AYY’s rentable facilities, also known as tilakähmyt, will start on Monday 6 May 2019 for associations. As usual, the bookings are made using AYY’s own booking system TILA. TILA can be found at https://tila.ayy.fi/, and users can log on with the Aalto University IT user details. The easiest way to get started is to read the instructions behind the Help link in the menu bar at the top of the page.

You can make advance bookings for the period of Mon 12 Aug 2019–Sun 5 Jan 2020.

The schedule for facility reservations in the system is as follows:

  1. AYY’s internal operators, 15 Apr–3 May 2019
  2. Special status associations
    The reservation period begins at 12 noon on Mon 6 May 2019 and ends at 12 noon on Tue 14 May.
    Booking session 1: Tue 14 May from 4.30 pm onwards in hall R001/M232 M1 of the Undergraduate Centre (Otakaari 1).
  3. Other associations in the 1st list
    The reservation period begins at 12 noon on Wed 15 May 2019 and ends at 12 noon on Tue 21 May.
    Booking session 2: Tue 21 May from 4.30 pm onwards in hall R001/M232 M1 of the Undergraduate Centre (Otakaari 1).

More detailed booking instructions will be announced in a separate email sent to all associations.

 

4. FYI – biggest AYY events in autumn 2019
The volunteers and employees of Aalto University Student Union organise various big events aimed at all Aalto people, some of whose dates have been listed below. These are for your information and to support the planning of other events, especially if you want to be aware of these when making future facility bookings. Welcome along!

5. Overalls and student clothing for the herring brunch of AYY’s Annual Ball
The Annual Ball Committee is looking for student overalls and coats of student associations and guilds for the brunch of AYY’s Annual Ball. This is an excellent opportunity to get rid of some of your organisation’s spare overalls and coats, as well as to make your organisation’s clothing highly visible at the collective party of the entire AYY!

If your association has spare, unused overalls or coats from past years that you could donate to the herring brunch, get in touch with the Annual Ball Committee either by email at tuuli.aaltonen@aalto.fi or on Telegram @lohenscowl.

 

6. Remember wellbeing in association operations
In addition to fun communal activities, it is also necessary to remember to pay attention to the coping and wellbeing of the membership and actives in association operations. In Board operations, for example, the division of the workload fairly and taking into account individuals’ coping is key to the wellbeing of the operators. Additionally, it is important to remember to express gratitude and appreciation towards the work done by others. Recreational outings for the operators can also be a good way to reward them and help them cope.

7. AYY’s guide for event organisers
The AYY Event Organiser Guide contains a huge spread of information all the way from event organisers’ legal obligations to an event safety checklist, equality and environmental issues, crisis communications, first aid instructions and many other guidelines important for event organisers.

1. AYY transport from Otaniemi to Etelärautatienkatu at Wappu
This year, AYY is crowning the Havis Amanda statue and, in the usual way, offering rides from the Otaniemi end station to the KY Building, where NESU-KY is organising the traditional Wapputerde. The latter offers a splendid opportunity to raise your spirits for AYY and KY’s collective Manta march that starts its journey towards the statue from the same location at 4 pm.

Buses towards Wapputerde are departing at regular intervals at 1.30–3.30 pm. More info will be announced in AYY’s Wappu event at https://www.facebook.com/events/341190193176027/.

Have you already heard about the Wappupotti appeal opened by the Freshman Committee that has already collected 14 000 euros for mental health services? The purpose of the appeal is to evoke discussion and to shatter the taboo surrounding mental health issues – and, of course, to support the important work of the Finnish Association for Mental Health. Make a donation at wappu.fi/mielelle (in Finnish)! The goal is to double the amount collected by the Aalto community on Wappu eve at Manta.

3. Save the Date – Village Cleanup on 4 May
Once you have had some time to recover from the Wappu frolics, it is time to help our campus in this recovery process as well. This can be done best at the collective cleaning effort of the Teekkari Village, also known as the Village Cleanup. So, put down Saturday 4 May in your diary and grab a pair of cleaning gloves to put on as you arrive. Encourage your association’s members to come along to the Cleanup too. As per tradition, the cleanup crew have the opportunity to take a sauna and enjoy each other’s company after the cleaning work.

 

4. Preliminary info on the dates of the advance booking of rentable facilities

6. Remember wellbeing in association operations
In addition to fun communal activities, it is also necessary to pay attention to the coping and wellbeing of the membership and actives in association operations. In Board operations, for example, the division of the workload fairly and taking into account individuals’ coping is key to the wellbeing of the operators. Additionally, it is important to remember to express gratitude and appreciation towards the work done by others. Invigorating outings for the operators can also be a good way to reward them and help them cope.

The AYY Event Organiser Guide contains a huge spread of information all the way from event organisers’ legal obligations to an event safety checklist, equality and environmental issues, crisis communications, first aid instructions and many other guidelines important for event organisers.

8. The Representative Council has decided upon the Community structures project’s direction and appointed AYY’s new Executive Director
In its meeting yesterday, the Representative Council decided on the plan for the development of community structures. The plan has been formed as the result of the Community structures project based on investigative work, discussions and comment rounds carried out in the community as well as on the preliminary discussions of the Representative Council.

Association classification will be developed in a direction where the associations are classified based on their operations as, for example, subject organisations, hobby and culture organisations and other organisations instead of the previous, more hierarchical structure. This enables multiform support and grants to be distributed easier, based on the needs of different associations. The updates of the Association Regulation, operating grant distribution and facility distribution will be carried out as separate projects, and associations will be able to participate in the update processes.

There is a model being planned for decision-making on Teekkari matters that goes by the working title of Guild Meeting. The purpose of the Meeting is to draw up policies on, for example, permission to wear the cap and other significant aspects of the Teekkari activities. A regulation will be created on the Guild Meeting, which will be prepared in cooperation with the Teekkari operators.

Next, more detailed schedules will be planned for the proposed measures related to the project and the resources allocated to these thought about. Nowhere near all of the revisions will be implemented this year. The plan is to renew the distribution process of the operating grants, for example, only during 2020. You will be informed of the tangible plans as they become clearer.

9. Volunteer as a group leader or partnership coordinator at Dare to Learn
Dare to Learn is the biggest event for learning and education in Northern Europe, gathering 4000 participants from 50+ countries. The vision is to make quality learning accessible to all, learning a strategic priority and Helsinki the Global Learning Capital. Dare to Learn, rising from the student community, has been called the Slush for learning and is mainly built by enthusiastic volunteers. We welcome you into our interdisciplinary learning community!

2. Apply for AYY’s scholarships by 24 Apr!
This spring, AYY is distributing exchange, community and study scholarships to support the internationalisation and communal activities of students and to encourage the successful combination of studies and student life. Among association operators especially, there may be members who are actively developing the community and can be supported with a community scholarship for achievements in communal activities.

The scholarships can be applied for until Wednesday 24 Apr at 11.59 pm.

3. Checkpoint organisers for Tour de Walpuri on 29 Apr
Wappu greetings from your Culture Directors as well! This year, in the night of the Wappu eve’s eve on 29 Apr, Tour de Walpuri takes the place of the traditional Crazy John. The event’s concept remains the same, however; only the name has been changed to a more descriptive one. The idea is for participants to tour all over Otaniemi and complete brief tasks at various checkpoints, earning them points for their score card. Hence, to ensure the event’s success, we need checkpoint organisers for the event. So, register your association, group of friends or other party to organise a checkpoint at Tour de Walpuri:

It is worth it to put some effort into your checkpoint, as the best one will be rewarded with an awesome Wappu basket as well as a free rental of an AYY rentable sauna, to be used by the end of the year.

Clas Ohlson inspires with its practical solutions and makes a student’s home even better as well. The Otaniemi Lab Store contains everything that students need in their home during their studies. The product selection has been designed for students’ needs e.g. by studying what kinds of products and services students need and by analysing their shopping baskets from the past few years. The product selection is updated together with the students, and it changes regularly along with the seasons and needs.

The whole product selection of Clas Ohlson can be ordered into the store for free, and most of the selection can be delivered to the store already on the same day. 1. Register your event on the wappu.fi site
Wappu is coming! AYY gathers the Wappu happenings of the whole Aalto community at one address, the wappu.fi website. Want to have your event added to the list? Fill in the form at https://lomake.ayy.fi/viestinta/wappu-fi-2019/.

If you come up with any questions about the form or the wappu.fi site, you can get in touch with AYY’s Communications Specialist Henna Palonen (henna.palonen@ayy.fi or 0505209440).

Also, remember that all associations within AYY have the user details to update the calendar on the ayy.fi/kalenteri website. Feel free to add your event on there! Log in at /wp-admin/.

 

2. Manta’s cap to your event
As the cleverest have already noticed, this year is AYY’s turn to crown the Havis Amanda statue at Wappu. You now have a unique opportunity to have the Manta cap itself pay your event a visit! AYY will deliver the cap onto site and collect it, so the event organisers only need to reserve a suitable spot for the cap.

The presence of the cap can be requested for any event, and the AYY Crowning Working Group will approve the request if they consider the event suitable for a cap visit! If there are overlapping requests, the working group will decide which event is prioritised. If the cap comes to your event, we hope that your association will publish this on social media with the hashtag #matkallamantalle – AYY will also publish the cap’s visits to your events on its own channels.

By using #matkallamantalle on Instagram (in a public profile), you will be entered into a draw for two plus-one VIP spots with drinks at the Manta Crowning. Feel free to advertise the draw to your members when the cap visits your event!

3. Checkpoint organisers for Tour de Walpuri on 29 Apr
Wappu greetings from your Culture Directors as well! This year, in the night of the Wappu eve’s eve on 29 Apr, Tour de Walpuri takes the place of the traditional Crazy John. The event’s concept remains the same, however; only the name has been changed to a more descriptive one. The idea is for participants to tour all over Otaniemi and complete brief tasks at various checkpoints, earning them points for their score card. Hence, to ensure the event’s success, we need checkpoint organisers for the event. So, register your association, group of friends or other party to organise a checkpoint at Tour de Walpuri:

It is worth it to put some effort into your checkpoint, as the best one will be rewarded with an awesome Wappu basket as well as a free rental of an AYY rentable sauna, to be used by the end of the year.

4. AYY transport from Otaniemi to Etelärautatienkatu at Wappu
This year, AYY is crowning the Havis Amanda statue and, in the usual way, offering rides from the Otaniemi end station to the KY Building, where NESU-KY is organising the traditional Wapputerde. The latter offers a splendid opportunity to raise your spirits for AYY and KY’s collective Manta march that starts its journey towards the statue from the same location at 4 pm.

Buses towards Wapputerde are departing at regular intervals at 1.30–3.30 pm. More info will be announced in AYY’s Wappu event at https://www.facebook.com/events/341190193176027/ (in Finnish).

 

5. Feedback on grant application round
We want to improve the grant application process, please give us feedback: https://lomake.ayy.fi/yhdistykset/palaute-avustushakemus-2019/.

We received a total of 140 applications, and association notices from a total of 170 associations. We will use the association notices to check that the associations still meet the requirements of AYY’s Association Regulation. The applications will be scored in accordance with the scoring model. April will be spent largely on going through these so, apologies in advance for possible delays in replying to your messages. We hope to have the grants paid out before the summer.

A few pointers:

  • If you requested more time for your appendices, please remember to submit the missing appendices according to the schedule we agreed on (jarjestoasiat@ayy.fi), and by 31 May at the very latest.
  • If you missed out on making your association notice, you cannot advance your association’s situation until the grant applications have been scored. The Tahlo system will be opened for late submissions before the summer.
  • If you missed out on applying for a grant, your association cannot receive funding from AYY this year. The grant kitty will be divided between those who applied on time. For projects and new ideas, you can try to get funding from the TTE Fund (https://tter.ayy.fi/, in Finnish) or the KY Foundation (https://kyweb.fi/foundation-subsidies/). 6. Gorsu, Tatami Hall and Village Living Room can be booked again
The renovations of the rental facilities at Jämeräntaival 5 A – Gorsu, the Village Living Room and the Tatami Hall – were completed in March, and the completely renewed facilities can once again be booked by members and associations.

Gorsu, located on basement level, is suitable for organising different kinds of parties and sauna evenings. The usage hours of Gorsu are 2 pm–3 am, and the sauna is switched on by facility’s booker themself with the controls found at the facility. The Village Living Room is suitable for holding meetings, playing games and watching movies. The usage hours of the Village Living Room are 10 am–11 pm. The Tatami Hall provides an opportunity e.g. to practise a variety of self-defence sports. There is a separate room connected to the facility that can be utilised as a dressing room. The usage hours of the Tatami Hall are 8 am–11 pm.

The Village Living Room and the Tatami Hall are free of charge for members and associations, Gorsu costs 130 €/booking for members and associations. More information on AYY’s rental facilities and their reservation: /en/students/services/rental-of-facilities/.

6. Immortalise your photo as part of AYY’s photographic mosaic!
Immortalise your photo as part of AYY’s photographic mosaic! In honour of the First of May, AYY’s Steering Group of Artistic Activities is producing a photographic mosaic artwork from the photo archives of students and student organisations. The theme of the artwork is “Wappu,” so we are looking for Wappu-spirited photos or ones taken around the First of May featuring students, student life and everything related.

Go through your own or your association’s photo archives and send us your pics. We need hundreds of photos in total, so there is no need to do any great elimination of the photos – this is where quantity matters! You can submit photos until 11 Apr using the form below.

7. How do you think Teekkari culture should be promoted?
Do you have an amazing idea on how Teekkari culture should be promoted in Otaniemi? Tell us your ideas on this form: https://lomake.ayy.fi/yhdistykset/idea-for-teekkari-culture/.

At the end of last year, the Academic Engineers and Architects in Finland donated 30 000 euros towards promoting the Teekkari culture. Ideas have been collected in various workshops and now, all members of the Teekkari community get to share their ideas via the form. What do you think would best promote the Teekkari culture? Your idea can cost anything between 1–30 000 euros. The questionnaire is open until 7 Apr.

1. Application for operating grants and submission of association notices ends the day after tomorrow, act NOW!
All associations operating within Aalto University Student Union must annually submit an association notice and, at the same time, associations in the 1st list can apply for an operating grant. The application period and submission of association notices ENDS THE DAY AFTER TOMORROW, on Sunday 31 Mar at 11.59 pm.

NOTE!
– If your association does not submit an association notice for two consecutive years, the association may be removed from AYY’s association register and can no longer access the services.
– Operating grant applications that arrive late will not be processed.
– Each missing appendix reduces the sum of the grant. For possible appendices to be submitted late, additional time must be requested before the application period closes, and there must be a justified reason for being late. Send us a message (jarjestoasiat@ayy.fi).
– AYY’s Organisation Sector does not answer questions at the weekend, but you can find answers to frequently asked questions here: /en/blog/2019/02/28/faq-operating-grants-and-association-notices/.

Both the operating grant application and the association notice consist of tabs to be filled in in the Tahlo system and the required appendices. As appendices, we require the following from everyone:

– the current rules
– the previous operating year’s annual report
– the current operating year’s operational plan

In addition, from those applying for an operating grant:
– the current operating year’s budget
– the previous operating year’s financial statement (consists of a profit and loss account and a balance sheet)
Log in to the Tahlo system at https://tahlo.ayy.fi/ with your association’s user details. If the user details have gone missing, they can generally be restored to your Board’s email address at https://tahlo.ayy.fi/password_reset.

Carefully fill in the tabs General, Board, Facilities and Attachments and, when applying for an operating grant, the Application tab. If you are a special status association, also fill in the Special Status tab. Finally, update your association’s association profile at /wp-login.php. You can sign in with your association’s user details. Remember to update all language versions!

Remember to reserve enough time to prepare the application, as applications arriving late will not be processed.

2. Submit the main admin reports for your association’s website TODAY
Is your association’s website on the AYY server? It is that time of year again when the main admin report for Otax must be submitted. The deadline for the admin report is 29 Mar, and the account will be locked on 1 Apr. If you know that you will need more time for the submission, please get in touch by email at tietotekniikka@ayy.fi and we will extend your account by a month.

This year, the reports will be examined more closely than in previous years. We ask you to pay particular attention to cleaning up old access keys and clearing the www-data folder.

5. Reminder for associations of the opportunity to use Kide.app at the AYY contract price
AYY has been in cooperation with the ticket sales and registration service Kide.app (previously Bailataan.fi) since the academic year 2016/2017.

Kide.app offers organisations, guilds and other clubs a registration and ticket sales service, a webstore and the tools to enable a member register and membership sales. The service is suitable for small and large events alike, regardless of study field and the organisation’s size, and alongside simple registrations and ticket sales, it can also be used for e.g. Sitsit, Appros, cruises and other events. In Kide.app, event registrations can be collected privately by using simply a link, or the events can be publicly advertised in the service.

AYY has agreed on closer cooperation with the Kide service. Thanks to the cooperation, each association in the Student Union’s association register has the opportunity to e.g. execute their services, collect registrations and sell tickets to their events in an affordable and practical way via the website or the mobile application.

The service can be used straightaway by setting up an account for the organisation at https://kide.app/en/sales. There is no need to make a separate written contract with the service provider.

The cooperative price agreed upon with the Kide service is 2% + 0.15 € per ticket sold (normally 2.95% + 0.25 per ticket sold). The service package includes free customer service and support. The contract does not feature any monthly fees or other expenses.

Kide.app is Finland’s most popular ticket sales channel for student events. It is used by more than 350 student organisations in 20 cities and by more than 120 000 students across Finland. The service is designed especially with student organisations’ needs in mind, and it is suitable for events of all sizes and the execution of the different services of student organisations. At the end of last year, the Academic Engineers and Architects in Finland donated 30 000 euros towards promoting the Teekkari culture. Ideas have been collected in various workshops and now, all members of the Teekkari community get to share their ideas via the form. What do you think would best promote the Teekkari culture? Your idea can cost anything between 1–30 000 euros. The questionnaire is open until 7 Apr.
